Documents Tab

Make the following menu selections to display this tab:

eFinancials/ePO/Job Cost/Contracts/Inventory—(a variety of locations)

Use this tab to manage documents.

Documents work the same regardless of the way you access this tab.

Prerequisite

Document Types—for the types of documents you want to add—must be set up before you can add a document using the Documents Tab.

What you can add documents to

Documents can be added to a variety of items in a variety of locations.

Documents that have been added are viewed and deleted via the Documents Tab.

Items that documents can be added (attached) to differ by module. Refer to the following lists for details.

Fields List

Grid Fields

Description

The description of the document.

Filename

The document file name.

Date

The date the document was uploaded to the server and added to the propertycompany.

Delete

Use the Delete button to delete a document. Refer to the delete instructions later in this topic.

Buttons

Add Documents

Select this button to add a new document. Refer to the add instructions later in this topic.

Find

Select this button to locate a document. Enter a document name and then click the Find button.

Procedures

ClosedTo Add a Document

  1. Locate the grid that contains the item for which you want to add a document. For a list of items by module, see the beginning of this topic.
  2. Select the Documents link or button in the Documents column. The Documents tab displays.
  3. Click Add Documents. The Upload Document tab displays.
  4. At Description, type the name of the file.
  5. Either enter the file name to upload or select the Browse button to search for the file and select it.
  6. Click Upload Document. The file is uploaded to your server and displayed on the Documents tab.

ClosedTo Edit a Document

  1. Locate the grid that contains the item for which you want to edit a document. For a list of items by module, see the beginning of this topic.
  2. Select the Documents link or button in the Documents column. The Documents tab displays.
  3. Locate and select the document you want to edit. A separate window displays asking you what you want to do: open or save the document?
  4. Select the appropriate action.
  5. Edit the document.
  6. Click File—Save As from the Windows toolbar.

ClosedTo Delete a Document

  1. Locate the grid that contains the item for which you want to delete a document. For a list of items by module, see the beginning of this topic.
  2. Select the Documents link or button in the Documents column. The Documents tab displays.
  3. Locate the document you want to delete.
  4. Click the Deletebutton in the Delete column on the grid. A delete confirmation message displays.
  5. Click OK. The system deletes the document.
