Make the following menu selections to display this grid:
Setup—Global Setup—Warehouse Reserves
Use this grid to reserve items for a specified job or piece of equipment. You can also view items already on reserve.
When you select to add or edit a Warehouse Reserve, the Add/Edit Warehouse Reserve page appears. This page contains information about the Warehouse Item that is reserved, the Job it is reserved for, and the dates and quantities associated with the reserve.
NOTE that you can also reserve Inventory Items automatically through the Transactions—Inventory Receipts option.
About Warehouse Reserves
NOTE
If you have the "Lite" version of Inventory, valuation is not included; therefore, valuation options do not show in this menu item.
Fields
Grid
The following fields and buttons show on the grid. This is information about items that have been reserved.
Add Warehouse Reserve (button)
Click the button to add a new Warehouse Reserve. The Add/Edit page appears. Refer to instructions later in this topic for information on how to add or edit a Warehouse Reserve.
Use the next options to select which Warehouse Reserves appear in the grid.
Warehouse ID
Click the Lookup icon to display the Select Warehouse pop-up and select a Warehouse ID. The Items for the Warehouse that you selected then appear in the grid.
Include all Warehouses (check box)
Check the box and all Items from all Warehouses appear in the grid. This box is checked by default.
Include Reserves with zero remaining (check box)
Check the box and all Items with zero reserves also appear in the grid.
Notes
To change what you see in the grid, for some columns you can do the following.
Click the column title to sort the list.
Click the Filter button to filter the grid by this column.
The fields in the grid show information about the item that is being reserved.
Item ID
The Item ID for the item you are reserving, which appears on lists and in reports.
Click the Item ID link to display the Add/Edit page to view or edit Warehouse Reserve information.
Description
The description of the Warehouse Reserve that appears on lists and in reports.
Warehouse ID
The Warehouse Reserve identification that appears on lists and in reports.
EntityCompany
The EntityCompany that appears on lists and in reports.
Job
The job identification that appears on lists and in reports.
Phase
The phase that appears on lists and in reports.
Cost
The cost that appears on lists and in reports.
Type
The Type that appears on lists and in reports.
Date Needed
The date the items are needed.
Reserved
The number of items that have been reserved.
Shipped
The number of items that have been shipped.
Remaining
The number of items that remain to be shipped.
Delete
Use the Delete button to delete a Warehouse Reserve. Only Items with no transactions have the Delete icon available.
If any transactions have been tied to the Warehouse Reserve, the delete icon does not appear. To delete these Items, use the Delete Items functionality.
Add / Edit Warehouse Reserve
As you make selections, information may default into some fields automatically.
NOTE that a red dot indicates a required field or selection.
Add or edit information that defines the warehouse reserve.
Warehouse ID
The Warehouse identification that appears on lists and in reports. This is the warehouse that contains the item that is being reserved.
To add or edit the Warehouse ID, click the Lookup icon to display the Select Warehouse Item pop-up and select a Warehouse ID / Item ID combination.
Item ID
The Inventory Item identification that appears on lists and in reports. This is the item that is being reserved.
To add or edit the Item ID, click the Lookup icon to display the Select Warehouse Item pop-up and select a Warehouse ID / Item ID combination.
Item Description
The description of the Item that appears on lists and in reports.
This is display-only information from the Inventory Item record.
When adding a new Warehouse Reserve, this section does not appear. It shows the following information in Edit Warehouse Reserve mode only. This information is pulled from other parts of the system:
EntityCompany
The EntityCompany that appears on lists and in reports.
Click the Lookup icon to display the Select EntityCompany pop-up and make a selection.
Job
The job identification that appears on lists and in reports.
Click the Lookup icon to display the Select Job pop-up and select a Job ID.
Phase
The phase that appears on lists and in reports. Enter an alphanumeric value.
NOTE that when you select a Type, the Phase and Cost fields are automatically completed by the system.
Cost
The cost that appears on lists and in reports. Enter an alphanumeric value.
NOTE that when you select a Type, the Phase and Cost fields are automatically completed by the system.
Type
The Type that appears on lists and in reports.
Click the Lookup icon to display the Select Typepop-up and select a Cost Activity.
NOTE that when you select a Type, the Phase and Cost fields are automatically completed by the system.
Add or edit information for these fields.
NOTE that a red dot indicates a required field or selection.
Reserved
The reserved date.
Click in the field and use the Electronic Calendarto select a date.
Needed
The date the reserved items are needed.
Click in the field and use the Electronic Calendarto select a date.
Last Shipped
The date the last shipment of the items was shipped.
Click in the field and use the Electronic Calendarto select a date.
NOTE that a red dot indicates a required field or selection.
Reserved
The number of items that you want to reserve. Add or enter an amount.
When you press the Tab key, the amount you enter is then automatically added to the Remaining to be Shipped field by the system.
You are able to enter an amount greater than the quantity available.
Shipped
The system-calculated number of items that have already been shipped. This field is display-only.
Remaining to Ship
The system-calculated number of items that remain to be shipped. This field is display-only.
Procedures
Additional Information
The EntityCompany Policy Group settings in eFinancials for Post to closed Jobs - Inventory Entry and Post to non-existent Phase and Cost Codes - Inventory Entry are checked by the system (allow, not allow, and allow with warning).
Permissions must be set in the System module to access the Warehouse Reserves menu item. Separate add, edit and delete permissions are available.
