Lease Info Tab

Make the following selections from the eSite menu to display this page:

Leasing—Add Resident/Tenant

Use this tab to add new tenant lease information for commercial properties (i.e., property type set to 6-Standard Commercial).

The menu item label varies, based on the Resident Long Name value on the Property Names category. For example, if the value is "Resident," the menu item is "Add Resident."

An asterisk ( * ) indicates a required field.

Building *

If known, enter the building number of the suite the tenant is leasing.

Suite *

If known, enter the suite number the tenant is leasing. Or, use the Lookup Button to select a suite and auto-fill the Building, Suite and Addresses fields.

Address

The suite address. This field is auto-filled by the system when a selection is made using the Lookup button.

TenName 1 *

The global policy, Tenant Short Name affects this field.

Enter the tenant's trade name.

TenName 2

The global policy, Tenant Long Name affects this field.

Enter the  tenant's business name.

Lease Sq Ft

Enter the amount of square footage the tenant has agreed to lease. Click the drop-down arrow to display a calculator that you can use to calculate and transfer an amount into this field.

Lease Type

The property policy, Track Lease Types affects this field.

This field displays when the policy is checked. Lease types are used to categorize tenants; for instance a shopping mall may use the lease types—carts and stores—to help identify which retail units operate from carts and which operate from stores.

Select the lease type that best describes the new tenant from the drop-down list. Lease types are established on the Lease Types Tab.

Vendor ID

Enter the vendor ID used for transferring refund transactions to accounts payable.

Sales Reporting Category

The global policy, Use Retail Sales affects this field.

This field displays when the policy is checked. Sales reporting categories are used to group tenants for billing and rebilling purposes.

Select the sales reporting category that best describes the new tenant from the drop-down list. Sales categories are established on the Sales Categories Tab.

Credit Status

This field defaults to Normal. Accept the default to indicate all payment types are accepted. Or, select a different option from the drop-down list. The following options are possible:

Normal

Accept this default option to indicate all payment types are accepted.

No Checks

Select this option to indicate check payments are accepted.

Hold

Select this option to indicate no payment types are accepted.

Restricted

Select this option to indicate no transactions of any kind; payment or otherwise are accepted.

Group Lease Code

If group lease statements or invoices are used, select which group lease code to assign the new tenant from the drop-down list.

Profit Center

The property policy, Use Profit Centers affects this field.

This field displays when the policy is checked. Profit centers are used to identify the code that links the profit center to the tenant's income and/or billing amounts. Profit center codes are established on the Details Tab when suites are set up.

Enter a profit center code to link the profit center to the tenant's income and/or billing amounts; not to exceed a maximum of 20 alphanumeric characters.

Tracking ID

Use the Lookup to find and select an existing Tracking ID for an applicant/lease who has leased previously. Or, leave blank for an applicant/lease who has not leased previously and the system will assign a unique Tracking ID.

Notes

Enter any notes or comments to associate with the tenant; not to exceed 255 alphanumeric characters.

Occupy Flag

This box defaults as checked. Accepting the default indicates the tenant is currently occupying the leased space. Or, click once inside the box to remove the check; indicating the tenant is not currently occupying the space.

Full Guarantee

This box defaults as unchecked. Accepting the default indicates the new tenant's lease is not financially guaranteed by another person, or company other than the tenant. Or, click once inside the box to add a check; indicating the tenant's lease is financially guaranteed by another person or company.
