eSite—Leasing—Guest Cards—(select a
guest card number) or (add a new guest card)
Use this tab to add or edit guest information. Any and
all guest cards that have been entered are listed on the grid.
Note
An red circle next to a field ( ) indicates the field is required. Your property policy
settings determine which fields are required.
Guest Card
The display-only guest card number, or for a new
guest card, "NEW" appears in the field.
Status
The display-only status Type
as entered on this page and saved previously under Contacts.
Guest Name
Title
The
title of the guest (for example, Mr. or Mrs.).
First Name
The first name of the guest.
MI
The middle name of the guest.
Last Name
The last name of the guest.
Preferred Contact
Select how the guest prefers to be contacted:
Phone 1, Phone 2, Email, or by Fax.
Phone 1
Type the guest's primary telephone number including
area code and extension, if available. If this information is entered,
it is displayed on the Occupant Details
Tab.
Phone 2
Type the guest's alternate telephone number including
area code and extension, if available. If this information is entered,
it is displayed on the Occupant Details
Tab.
Email
Type the guest's email address. If this information
is entered, it is displayed on the Contact
Details tab.
Fax
Type the guest's fax number including area code.
If this information is entered, it is displayed on the Contact
Details tab.
Contacts
Use the fields in this section to record contacts with
the guest, one line per contact.
Type
Select the contact method type that describes
how the guest first contacted the property:
Internet
Guest inquired about the property using the Internet.
Phone
Guest inquired by phone about the property.
Visited
Guest visited the property in person.
For additional information, refer to Guest
Card Statuses.
Date
Enter the date of the guest contact (mm/dd/yyyy).
Or, use the Calendar to select a date.
Time
Type the time of day when the guest contact occurred,
and then type AM or PM.
Agent
Select the name of the leasing agent who received
the phone call, led the property tour, or responded to the Internet inquiry
for the guest. Leasing Agent names are established on the Leasing
Agents Tab.
Action
Select the action taken as a result of the guest's
visit to the property. Guest card actions are established on the Phone
Actions Tab, Visit Actions Tab
and Internet Actions Tab.
Unit Type / Unit Sub Type
Select the unit
type and sub type that
the guest is interested in leasing. Unit types and sub types are established
in Unit Types setup.
Date Needed
Enter the date the guest needs to lease the unit
by. Or, use the Calendar to select a date.
Desired Term
Type the number of months for which the guest
would like to lease the unit. For example, 6, 9, or 12.
Requirements
Type any requirements for leasing requested by
the guest. For example, the guest requires a unit close to the office
or with a pool view.
Unit Shown
If the guest toured a unit, type that unit number.
Next Appt.
If the guest scheduled their next appointment,
type the date of the appointment in MM/DD/YYYY formt. Or, click the Calendar button to select a date.
Next Appt. Time
Type the time of the next scheduled appointment
and then type AM or PM.
Follow-up
The property policy Default
number of days for follow-up date on guest cards affects this
field. The field defaults to policy-specified number of days. Accept the
default or enter a different number of days. The system alerts you when
it is time to follow up on the guest card.
Qualified
This check box defaults as checked. Accept the
default if the guest met the property's preliminary leasing criteria.
Marketing Source
Select how the guest first heard about your property.
Marketing sources are established in Marketing
Sources Setup.
Action Taken and date
Select the action taken as a result of the guest
visit. Visit actions are established on the Guest
Card Action Codes Tab.
Type the date of the action taken in MM/DD/YYYY
formt. Or, click the Calendar button to select
a date.
Moving Reason
Select the reason the guest is moving from their
current address. Moving reasons are established on the Moving
Reasons Tab.
Current Community
Select the community where the guest is currently
residing. Communities are established on the Communities
Tab.
Price Range
Select the price range the guest requires for
leasing a unit. Price ranges are established on the Price
Ranges Tab.
Student Housing
University
This field appears only for student housing properties
(Property Type 3 -Student
Housing). Type the name of the university or school of the student,
up to 100 characters.
Class
This field appears only for student housing properties.
From the drop-down list, select the student's current class standing.
Note
Before you can make a selection from the Class field,
the options must be established in a User Table. To do so, add a new table
with the description “Class” and add the options you want to be available
(for example, Freshman, Sophomore, Junior, Senior, Graduate).
Home Zip Code
This field appears only for student housing properties.
Type the student's home zip code.
Comments
Enter a date into the Date
field and comments into the Description
field. When you save the page the comment will be saved with your name
in the Initiated by field.
The Initiated
by field shows the read-only name of the person who initiated a
previously-saved comment. When a new comment is entered, the page must
be saved for the comment to be saved to the guest card record.
Use the delete button to delete a
previously-saved comment.
Note
Comments appear on the Guest Card report that
prints when the guest card is selected to be printed on the Guest Cards
grid.
Roommates
Use these fields to add or edit roommate information,
if applicable.
Title
Enter the roommate's preferred title. For example,
Mr., Mrs., or other.
First Name
Enter the roommate's first name.
MI
Enter the roommate's middle initial.
Last Name
Enter the roommate's last name.
