            Date *
            This date defaults to the current system date. 
 Accept the default or enter another date (mm/dd/yyyy). Or, click the Calendar button to select a date.
            Description
            This field defaults to Refund and Forfeits. Accept 
 the default or enter a more descriptive name for this transaction.
            Print Resident History
            Select the check box to print a resident history 
 report when the refund or forfeit transaction is entered. 
            Print Refund and Forfeits
            Select the check box to print a refund or forfeit 
 letter when the refund or forfeit transaction is entered. 
            Show/Hide Forwarding Address
            Select the link to toggle the display of the forwarding 
 address fields which include Address, City, State, Zip and Country. If 
 the previous resident's forwarding address is unknown, enter the last 
 known address.

About the Forwarding Address
            
            
                The default Forwarding Address as displayed on 
 the Refund & Forfeits form comes from one of the following locations 
 in Lease Changes—Addresses:
                
                    - If the Lease has 
 a separate Other Address, then it will be used.
- If the Lease has 
 a Primary Address and the Other Address is set to be the same as the Primary 
 Address, then the Primary Address is used. Also, Refund & Forfeits 
 automatically creates an Other Address for this lease.
- If the Lease has 
 no Primary or Other Addresses, then the Unit Address is used.
- If the Lease has 
 no Primary, Other, or Unit Addresses, then the Forwarding Address is blank.
Use of the Forwarding Address:
                
                    - For Refund & 
 Forfeits, the default Forwarding Address is displayed as indicated above. 
 This address is editable.
- The updated address 
 is passed to Letters if a Refund Letter 
 containing the Forwarding Address is used.
- The updated address 
 is passed to the Refund & Forfeits - Create Refunds where only two 
 address lines are displayed. This form is also editable. Any change to 
 the Address on this form (including blank lines the user may add) is passed 
 to eFinancials or any supporting files for transfer to A/P.
 
            Move-Out
            The date (mm/dd/yyyy) the resident moved out of 
 the unit. 
            Expected Move-Out
            The date (mm/dd/yyyy) the resident is expected 
 to move out, as indicated on the Notice 
 to Vacate Tab.
            Reason for Move-Out
            The reason why the resident wants to end the lease, 
 as selected on the Notice to Vacate 
 Tab.
            Message
            Open text field used to enter additional comments 
 or message to the resident.
            Deposits
            The display-only field lists any security deposit 
 amounts on hand. 
            Prepaids
            The display-only field lists any prepaid amounts 
 on hand.
            Amount Due
            The display-only field lists the current amount 
 due.
            Total Applied
            The display-only field lists the total amount 
 of security/prepaid amounts applied to the amount due. 
            Refunded
            The display-only field lists any amounts refunded 
 to the resident.
            New Charges
            Enter or view any new charges to apply to the 
 resident's account. 
            Prepaid On Hand Amount Details
            Click to toggle the display of funds available 
 for refund or forfeit.
            Balance Due
            Click to toggle the display of the resident's 
 balance due.
            New Charges
            Click to toggle the display of any new charges 
 applied to the resident's account. Fields that appear in the New Charges 
 grid are Income Code, Due Date, Amount, and Description.

Note
            When adding new charges that are subject to tax, 
 the system automatically adds the Tax line items into the New Charges 
 grid so you can allocate security deposits against the new Tax charges; 
 also, the new Tax charges show in SODA Merge Field blocks. If a user changes 
 an Income Code or an amount in the New Charges grid, the system shows 
 the new taxes as uneditable on the grid. The description for the Tax lines 
 is the Income Code description. Taxes are assigned a Due Date that is 
 the same as the source charge, so if Damages is due on 1/24/2013, then 
 any associated taxes are due on 1/24/2013 as well. Note that for any tax 
 Income Codes used in calculations, the Suppress on SODA check box cannot 
 be checked on Setup—Property—Income Codes.
            Allocations
            Click to toggle the display of an allocation table 
 used to manually key in the funds allocations for the resident's account. 
 
            Automatically Allocate
            Select the check box to have the system automatically 
 allocate eligible funds.
