Setting Up a Corporate Housing Unit
This section discusses the three primary features added
to the Units Tab that makes the tab uniquely
applicable to use for Corporate Housing, which include: Master
Lease Property selection box, Master Lease
button, and Unit Active/Inactive Dates.
Master Lease Property Selection Box
Use this option to define which units to include
in the selection list that displays when Master Lease
is selected. Follow these steps to restrict which units to include in
the selection list.
- Make these selections
from the eSite sidebar menu: Setup, Property,
Units. The Units Tab
displays.
- From the Master
Lease Property drop-down list, select the blank option to display
all units for all properties within the selected database or select a
single property.
Note
When a single property is selected, only units for that
property are displayed in the selection list.
Master Lease Button
Once property restrictions are defined, the corporate
unit must be linked to the same unit that was set up in the Standard Property
by the original owners. If the link is not created, the underlying program
functionality is missing and corporate housing leasing will not operate
as it should. Use the Master Lease button to
link the Standard Property unit (master lease unit) to the Virtual Property
unit (corporate housing unit) using the steps provided.
- Make these selections
from the eSite sidebar menu: Setup, Property,
Units. The Units Tab
displays.
- With the Address
Tab open, click Master Lease. This opens a resident
selection list which includes leases with a Current,
Transfer Out or On-Notice
status for all properties that are not corporate housing properties.
- Locate and select
the unit to lease from the Standard Property and to set up as the corporate
housing unit. The system displays the Property ID, building and unit numbers
for the selected property next to the text label, Master
Lease and creates a program link between the original unit and
the corporate unit.
Active/Inactive Dates
With the appropriate policies set, values entered
in the Active or Inactive
date fields define the unit state as Active or
Inactive. The state affects how units are counted
throughout the system, specifically in leasing functions, reports and
in the Recalc Counts utility.
If the state of a unit is Active,
it displays throughout the system as an available, leaseable unit, and
activity is allowed and considered in both calculations and reports. If
the state of a unit is Inactive, it is hidden
within the system so that it appears as though it is not available for
leasing therefore, activity is not allowed or considered in either calculations
or reports. The reason for this is to allow units to be temporarily removed
from the books for a specified period of time without having to physically
remove the unit from the system.
This is ideal for corporate housing properties who sub-lease
units, especially those that sub-lease on a time-share or seasonal basis.
During the times of the year when the units are available for leasing,
they remain in an Active state. However, can be marked Inactive when they
are vacant allowing a truer occupancy count and financial report.
