Make the following menu selections to display this grid:
Job Cost—Job Costing—Job Inquiry
Use this grid to inquire about job information in active jobs. Select the job you want to inquire on and whether to include unapproved transactions or only inquire on approved transactions.

Important Notes
The Fields lists provides calculations for each field.
Job Inquiry Original, Revised, and Final calculations work the same way for Amounts, Hours, and Quantity. Revised Estimates that show as zero mean that the Current Estimate has been set to zero, and does not show the Original Estimate. This is because when an Estimate is added, the Revised field is automatically updated.
When one of the items is Final, all of the others for that Estimate will also be Final. So even if you have a Revised Estimate on a Change Order that is greater than XXXXX and you have 0 for Final, since the Change Order is XXXXX for that item as a Final Amount, then any other Amount associated with that Estimate now becomes a Final Amount, too.
Fields
Job Inquiry
Click the Lookup icon to display a pop-up and then select a Job to inquire on. The page updates based on your selection
Entries on the pop-up are established in Jobs Setup.
Include unapproved transactions (check box)
Select the box to include unapproved transactions in the inquiry.
Click the arrow to show the following display-only information about the job.
Customer ID
The customer ID number associated with the job.
Contact Name
The contact name on the Job Master Tab in Job setup.
Project Manager name ( default label)
The name of the project manager associated with the job.
NOTE that "Project Manager" is the default User Code label and so this field may have a different label.
Phone
The phone number of the project manager.
Contract #
The contract number entered in the job setup Contract tab for Contract #.
Start Date
The start date for the job.
Est Completion Date
The estimated completion date for the job.
Last Bill Date
The last billing date, as calculated from the customer billings.
Approved C/O
The sum of all income change order estimates (the non 00000 change orders) for the job where the effective date is less than or equal to the login date.
Pending C/O
The sum of all the income change order estimates (the non 00000 change orders) for the job where the effective date is greater the login date.
Percent Complete
Matches the percentage for Earned To Date under Income Summary.
The calculation for Percent Complete is as follows:
If the current Contract amount (includes any Change Orders) equals zero and the billed Job To Date amount is greater than zero, then the Percent Complete is 100%.
If the current Contract amount (includes any Change Orders) equals zero and the billed Job To Date amount equals zero, then the Percent Complete is 0%.
These calculations override all other cases, including the field-reported Percent Complete entered on the Job itself.
NOTE that this value for Percent Complete is based on the login date. Any figures that use this in their calculations can be different based on the login date. For additional information, please refer to the Percent Complete History topic.
All values except Earned To Date and Retention Drawn have links on the amounts. These links display additional information in a grid in the lower screen. Refer to each field and the Procedures for additional information.
Calculations are shown for each value.
Original Contract Amount
For any change order amount, where the login date <= change order date, it is the "Estimate" entered.
Grid fields: Description of estimate, Amount, Quantity*.
Current Contract Amount
For all Change Orders where the login date <= change order date, using Final estimate, Revised estimated, or Original estimate (in that priority). If buyout exists, subtract from the estimate amount unless using Final estimate. Then do not subtract buyout.
Grid fields: Description of estimate, Change Order amount, (Contract) Amount, Quantity*.
Earned To Date (no link)
Current Contract Amount * Calculated Job Percent Complete / 100; (percent shown is % job complete, same as header).
Billed To Date
Sum of all billing line items (minus any retention and tax) and JC balance forwards of cost type "I", that are linked to a job estimate record and with a login date <= date of record (and conditionally restricted to those approved in a batch), billed / earned to date = %.
Grid fields: Description of estimate, Combined ID, Billing Type, Date billed, Gross Billed, Net Billed, Retention Balance, Quantity*.
The Combined ID amount link drills down to the eFinancials Billings page and the Journal Entries page.
Gross billed is the amount of the billing and retention. It does not include the sales tax or any retention drawn. This shows as the summary amount in the Billed to Date column.
Retainage Amount column includes draws, thus making the column able to show both retention and draws, with the total matching the Retention Remaining in the Income Summary.
Regarding Journal Entries...
For a journal entry:
The JE # appears in the Combined ID column and the Billing Type is blank.
The Billed Amount appears in the grid as a positive number when it is income. When it is a reduction it appears in the grid as a negative number.
When a journal entry has an entry to Retainage on the More icon in Journal Entry, an amount appears in the Retained Amount column.
Unbilled
Sum of Current Contract Amount (including change order) - sum of Billed to Date.
Grid fields: Description of estimate, Contract amount, Gross Billed, Gross Unbilled, Unbilled Quantity*.
Receipts
Sum of all deposit line items (excluding tax) that are not write offs, JC balance forwards of cost type "I", Unapplied Cash tied to a job, or JE Income transactions linked to an income job estimate record and with a login date <= date of record (and conditionally restricted to those approved in a batch).
NOTE: Taxes on receipts are calculated based on a % of the billing. So if 55% of the billing has been received, 55% of the tax has been received and that is what is excluded from the receipt when calculating what the amount is.
Grid fields: Description of estimate, JE/Billing ID, Receipt Amount.
Open Receivables
Sum of Billed to Date subtract sum of (Cash Received to Date, Discounts, and Write Offs but not including tax).
Grid fields: Description of estimate, JE/Billing ID, Billed Amount, Receipt + Discount, Write Off Amount, Open Amount.
JE/Billing ID amount link drills down to the eFinancials Billings page and the Journal Entry page.
Over/Under Billed
The amount overblled or underbilled.This is calculated as Billed to Date - (Current Contract * Percent Complete). The value is positive for overbillings and negative for underbillings.
Retention Drawn (no link)
Sum of all billing line item amounts (minus any retention and tax) of billing type retention or retention credit, that are linked to a job estimate record and with a login date <= date of record (and conditionally restricted to those approved in a batch).
This field does not appear unless the global policy on the eFinancials AR Tab is selected: Use AR Retainage.
Retention Remaining
Sum of all billing amount retention that is linked to a job estimate record and with a login date <= date of record (and conditional restricted to those approved in a batch) - sum of retention drawn.
This field does not appear unless the global policy on the eFinancials AR Tab is selected: Use AR Retainage.
Grid fields: Phase, Description of estimate, Retention Drawn, Retention Remaining.
*Quantity of whatever the description is. For example if it is material then it could be quantity of drywall. It is however the quantity is defined to result in the Unit Cost.

Original Estimate
(Cost, Quantity, or Hours): For any change order, where the login date <= change order date, it is the "Estimate" entered.

Current Estimate
(Cost): For all change order where the login date <= change order date, using Final estimate, or Revised estimate - buyout amount, or Original estimate - buyout amount (in that priority).
Grid fields: Phase, Cost Type, Description of Phase in Job Estimates, Change Order, Estimate, Hours, Quantity*.
Cost To Date
Sum of invoice line items on an invoice that was not voided, or JC balance forwards except cost type "I", linked to a job cost record and with a login date <= date of record (and conditionally restricted to those approved in a batch) plus any JE cost transactions linked to a job cost record and with a login date <= date of record (and conditionally restricted to those approved in a batch). Percentage is cost to date / current estimate of cost.
Grid fields: Phase, Cost Type, Description of Phase in Job Estimates, Vendor ID, JE/Invoice, Job To Date Cost, Job To Date Hours, Job To Date Quantity*.
Total Commitments
Sum of PO/Subcontract line items with a PO/Subcontract status of Open or Closed, or JC balance forward commitments, linked to a job cost record and with a login date <= date of record (and conditionally restricted to those approved in a batch).
Grid fields: Phase, Cost Type, Description of Phase in Job Estimates, Vendor ID, JE/PO/Subcontract/Invoice, Committed amount, Adjustment amount, Spent Amount, Open Amount.
Open Commitments
Total Commitments plus any Cost estimates with a Committed Cost adjustment where the login date <= change order date, subtract sum of Spent Commitments.
Spent Commitments (not showing but calculated): Sum of all invoice lines items on an invoice that was not voided linked to a job cost record and linked to a PO/Subcontract record that is on an open or closed PO/Subcontract and with a login date <= date of record (and conditionally restricted to those approved in a batch) plus any JE transactions that have a Committed Spent amount and are linked to a job cost record with a login date <= date of record (and conditionally restricted to those approved in a batch).
Grid fields: Phase, Cost Type, Description of Phase in Job Estimates, Vendor ID, JE/PO/Subcontract/Invoice, Committed amount, Adjustment amount, Spent Amount, Open Amount.
Cash Disbursed
Sum of Payment line items and JC Balances cash out and JE cost line items cash out, linked to a job estimate record and with a login date <= date of record (and conditionally restricted to those approved in a batch).
Grid fields: Phase, Cost, Cost Type, Description of Phase in Job Estimates, Vendor ID, Invoice ID/Journal ID, Amount Disbursed.
Open Payables
Sum of Cost to Date; subtract sum of Cash Disbursed.
Grid fields: Phase, Cost, Cost Type, Description of Phase in Job Estimates, Vendor ID, Invoice ID/Journal ID, Amount to Pay, Amount Disbursed, Amount Open
Retention Drawn (no link)
Sum of all Retention Paid on invoices that are not voided, linked to a job cost record, and with a login date <= date of record (and conditionally restricted to those approved in a batch).
This field does not appear unless the global policy on the eFinancials AR Tab is selected: Use AR Retainage.
Retention Remaining
Sum of all Retention on invoices that are not voided, linked to a job cost record and with a login date <= date of record (and conditionally restricted to those approved in a batch) - Sum of Retention Drawn.

Grid fields: Phase, Cost Type, Description of Phase in Job Estimates, Retention Drawn, Retention Remaining.

Original Estimate
Original Estimated Contract - Original Estimated Cost. Original estimated gross / Original Contract Amount = original gross profit %.
Current Estimate
Current Estimated Contract - Current Estimated Cost. Current Estimated Cost / Current Estimated Contract = gross profit %.
Earned (Gross) to Date
Earned to Date - Cost to Date. Gross Profit Earned to Date / Gross Profit Current Estimate = earned gross profit %.
Detail Screen
• Income, Estimate Column = Income Summary Current Contract Amount
• Income, Actual Column = Income Summary Earned to Date
• Direct Cost Totals, Estimate Column = Cost Summary Current Estimate
• Direct Cost Totals, Actual Column = Cost Summary Cost To Date
• Gross Profit Totals, Estimate Column = Gross Profit Summary Current Estimate
• Gross Profit Totals, Actual Column = Gross Profit Summary Earned To Date
• Overhead Totals, Estimate Column = sum of (Cost Summary Current Estimate grouped by cost type * overhead cost type %)
• Overhead Totals, Actual Column = sum of (Cost Summary Cost To Date grouped by cost type * overhead cost type %)
• Net Profit, Estimate Column = Gross Profit Estimate - Overhead Totals Estimate

Grid fields:
Estimate Column, Actual Column for both Direct Cost and Overhead sections..
Direct Cost section shows Direct Costs and Gross Profit.
Overhead section shows Overhead totals and Net Profit.
Calculations are shown for each value.
Cash Flow
Cash Received - Cash Disbursed.
Capital
Open Receivables - Open Payables.

For amounts that have links, click the link to drill down to another page. For example, you can click the link in a column for an income estimate to drill down to the Billings page in eFinancials.
NOTE that only users with permissions can view/edit open items.
Drag a column header and drop it above the grid, on the line indicated, to group the information in the grid by that column.
Click a column title to sort the list
Use Filter Buttons in column headers to change what appears in the grid.
