Setup Check Formats
Make the following menu selections to display the Setup
Check Formats tab:
eFinancials—Setup—AP Setup—Check Formats
Use this tab to add and access the check formats, which
control how fields appear on checks.
The check format is selected on the Bank Account Setup
Check Print Tab. You can select a default
check format or use the Setup Check Formats tab to create your own formats.
If
your system uses Simplified Company Setup, note that any default check
formats that reference Property are suitable to be used for Company. For
example, if you select the default check format Check_Stub_11_Prop, the
checks are grouped by Company instead of Property.
Note
Checks and deposit advices use the same formats. Information
and procedures that apply to checks also apply to deposit advices.
Fields
Fields
The following fields appear on the tab:
Add Check Format
Click to open the Check Format Maintenance tab
and create a new check format.
Find
Type the first few characters of the check format
description and click Find. The items that are
the nearest match to your entry display.
Go
When the list of entries in the grid is longer
than one page, type a page number in the Page
field and click
to jump to a particular page of the list.
Description
This column displays the description of the check
format. Click the column heading to sort the list.
Delete
Click the Delete icon
to delete a check format.
Note
For field descriptions for adding and editing check formats,
refer to Check Format Maintenance.
Formats
Default Check Formats
The following table describes the default check and deposit
advice formats. By default, these formats can be accessed from the Setup
Check Formats grid and are listed in the Check Format drop-down list on
the Bank Account Setup Check Print Tab.

Procedures
To Add a New Check Format
Note
For detailed descriptions of the fields referenced in
this procedure, refer to Check Format
Maintenance.
- From the Setup Check
Formats tab, click Add Check Format.
The Check Format Maintenance tab appears.
- Type a Description
to identify the new check format.
- In the Group
By field, select either the Vendor
or PropertyCompany radio button to specify how you want
the information to be grouped on checks.
- Select the radio
button for the format you want to use: Check
Top, Check Bottom Legal,
Two Stub Top, Two
Stub Bottom, or Check Bottom,
Three Stub Top, Stub Check Stub w/Image, Custom Report.
- Select each applicable
check box to specify any additional information you want to print on the
stub or check: Print Vendor ID On Stub,
Print PropertyCompany Name On Stub,
Print Customer ID On Stub, Print
PropertyCompany Name On Check, or Print Customer ID On Check.
Note
If you selected "Vendor" in the Group By field,
the following check box options are disabled: Print
PropertyCompany Name On Stub and Print
PropertyCompany Name On Check.
- If
you selected Stub Check Stub w/Image,
verify that the proper Check Image
appears; if it does not, refer to Images
Overview for help. Otherwise,
None appears in the field.
- From the Overflow
drop-down list, select one of the following options to specify where you
want any additional lines to be printed when the number of detail lines
on a check or advice exceeds the Lines Per Check or Lines Per Advice limit:
- Void
Next Check Overflow lines are printed on the stubs of additional
checks. The full amount paid is printed on the initial check and additional
checks are printed with a zero amount.
NOTE that in the Payment Inquiry grid, there is no drill-down link for the Check #, the Status for this check is Overflow, and the Description shows "Check Overflow [check number], where the check number is the number of the check that the overflow came from.
- None
(Multiple Checks) Lines are printed on multiple checks, with the
amount paid for each check being the total amount of the lines printed
on the check.
- On
Deposit Advice Overflow lines are printed on additional advice
forms.
- From the Summarize
Detail drop-down list, select one of the following options: In
Detail, By PropertyCompany, By Invoice, or
By PropertyCompany & Invoice.
- From the Void After
Text field, type the text you want to
appear above the dollar amount on the check (for example, Void after 90
days). Or, leave this field blank if you want the word AMOUNT to appear
above the dollar amount.
- From the Select Output
Type field, select one of the following radio buttons to indicate the
format for printing the check and advice: PDF
or RTF File (MS Word).
- If you want the digital
signature(s) from your printer's signature cartridge printed on the check,
select the Use Signature Font
check box.
- If you selected RTF
File (MS Word) as the output type, review the MICR position. To edit the
values, in the MicrX field, type
the number of characters for the horizontal placement of the MICR code
on the check. In the MicrY field,
type the number of characters for the vertical placement of the MICR code
on the check.
- Using the Field drop-down
menus on the Check Stub Details grid, specify up to 10 fields to be included
in the check format. Select the fields in the sequence order (Seq) you
want them to appear on the check.
- For each field you
selected, type the Starting Position
and Length for the positioning
of the field on the check format.
Note
Be sure to account for a space between fields. For example,
if the end position for the first field is 12, the start position for
the next field should be 14. In that scenario, the 13th position is a
blank space.
- Review the sample
layout. Make any desired changes to your previous selections until you
are satisfied with the sample.
- Click Save.
To Add a New Check Format with a Custom Report
Format

- From the Setup Check
Formats tab, click Add Check Format.
The Check Format Maintenance tab appears.
- Type a Description
to identify the new check format.
- In the Group By field,
select either the Vendor or PropertyCompany radio button to specify how you want
the information to be grouped on checks.
- Select the Custom Report radio button.
- Select each applicable
check box to specify any additional information you want to print on the
stub or check: Print Vendor ID On Stub,
Print PropertyCompany Name On Stub,
Print Customer ID On Stub, Print
PropertyCompany Name On Check, or Print Customer ID On Check.
Note
If you selected "Vendor" in the Group By field,
the following check box options are disabled: Print
PropertyCompany Name On Stub and Print
PropertyCompany Name On Check.
- From the Overflow
drop-down list, select one of the following options to specify where you
want any additional lines to be printed when the number of detail lines
on a check or advice exceeds the Lines Per Check or Lines Per Advice limit:
- Void

recommended maximum is 14 or fewer lines per check.
- In the Custom Advice
Report File field, type the file name of the report file to use for printing
advices.
- In the Lines Per
Advice field, type the maximum number of detail lines that fit on the
direct deposit advice remittance stub. For a two-stub advice form, the
recommended maximum is 14 or fewer lines per advice.
- Click Save.
To View/Edit a Check Format
- From the Setup Check
Formats tab, click the description of the check format you want to modify.
The Check Format Maintenance tab appears.
- Make the desired
changes. For detailed field descriptions, refer to Check
Format Maintenance.
- Click Save.
To Delete a Check Format
- From the Setup Check
Formats tab, click the Delete icon for the check format you want to delete. The Check Format
Maintenance tab appears.
- Click Confirm
Delete.
