Tenant Information

This tab displays when Tenant Information is selected from the Lease Changes Task Selection Tab.

Leasing—Lease Changes—(select resident)—Tenant Information

The Tenant Information link is available for Commercial properties only. Use the tab to view or edit lease information for a tenant. Details displayed at the top of this tab are for reference only and cannot be edited.

An asterisk (*) indicates a required field.

TenName 1 *

The global policy Tenant Short Name affects this field. Type the tenant's trade name.

TenName 2

The global policy Tenant Long Name affects this field. Type the tenant's business name.

Lease Sq Ft

Type the amount of square footage the tenant has agreed to lease. Click the drop-down arrow to display a calculator that you can use to calculate and transfer an amount into this field.

Lease Type  

This field appears when the property policy Track Lease Types is checked. Lease types, which are established on the Lease Types Tab, are used to categorize tenants. Select the lease type that best describes the new tenant. For example, a shopping mall may use the lease types "carts" and "stores" to identify which retail units operate from carts and which operate from stores.

Vendor ID

Type the vendor ID used for transferring refund transactions to Accounts Payable.

Sales Reporting Category

The global policy, Use Retail Sales affects this field. This field displays when the policy is checked. This field determines the Sales Category this tenant will be assigned to for Ranking. Sales categories are established on the Sales Categories Tab. A tenant can be associated with multiple sales categories (such as a department store might be), but a tenant can only show once in the Ranking process.

In order to setup a tenant for Percentage Rent billing, you must first select the tenant’s sales reporting category in this field. Defining this field activates the Retail link on the Leasing—Lease Changes tab.

Credit Status

This field defaults to Normal. Accept the default to indicate all payment types are accepted. Or, select a different option from the drop-down list. The following options are possible:

Normal

Accept this default option to indicate all payment types are accepted.

No Checks

Select this option to indicate check payments are accepted.

Hold

Select this option to indicate no payment types are accepted.

Restricted

Select this option to indicate no transactions of any kind; payment or otherwise are accepted.

Group Lease Code

If group lease statements or invoices are used, select which group lease code to assign the new tenant from the drop-down list.

Profit Center

The property policy, Use Profit Centers affects this field. This field displays when the policy is checked. Profit centers are used to identify the code that links the profit center to the tenant's income and/or billing amounts. Profit center codes are established on the Details Tab when suites are set up. Type a profit center code, up to 20 alphanumeric characters, to link the profit center to the tenant's income and/or billing amounts.

Notes

If desired, type any notes or comments to associate with the tenant (up to 255 characters).

Occupy Flag

Select this check box to indicate the tenant is currently occupying the leased space. Or, clear the check box to indicate the tenant is not currently occupying the space.

Full Guarantee

Select the check box to indicate the tenant's lease is financially guaranteed by another person or company, other than the tenant. Otherwise, leave this check box cleared to indicate the new tenant's lease is not financially guaranteed by another person or company.
