Group Lease Statements Overview

Group Lease Statements are used to categorize several tenant profiles or suites together for billing purposes when the property type is 6-Standard Commercial.

For example, a tenant who rents several spaces in one building or multiple buildings may prefer to consolidate billing these suites by distributing a single statement. In addition, using this option allows you to print and mail statements to one primary address rather than to several; saving time and money.

As a prerequisite, before group statements can be used a Group Lease Code must be set up and linked to a tenant profile. The Group Lease Code is used to create the link between a group and a tenant profile and tells the system that any leases assigned to this Group Lease Code should be considered when the code is selected for generating Group Lease Statements. You determine the number of Group Lease Code to set up based on your individual or company needs.

After the Group Lease Code is set up, you can link that code to one or more tenant profiles. You determine which tenant profiles to group together when processing Group Lease Statements by selecting the appropriate Group Lease Code from the Lease Information Tab.

ClosedLetter Merge Fields

Group Lease Statements have the following special letter merge fields available:

Group Lease Code Description

Descriptive text that identifies the group lease code description pulled from the groupleasecode table.

Group Lease Code Activity

If available, the activity lists the ending balance which, can include transactions from the transaction tables for a date less than the activity From Date.

Group Lease Code Ageing

A listing of all charges. The following options are possible:

0-30—current charges

31-60—past due by 30 days

61-90—past due by 60 days

91 and Over—past due by 90 days or more

Group Lease Code Balance Due

The lease ending balance.
