Auto-Email Templates Grid

Make the following menu selections to display the Auto-Email Templates setup grid:

Setup—Global—Auto-Email Templates

Use the grid and tab to manage Auto-Email templates. With Auto-Email Templates, you can create and edit templates to be used for Auto-Emails.

If an Auto-Email is to contain an attachment, then the attachment name and type needs to be available to the user when the template is created or edited, and the attachment needs to be available to the system when the email is sent.  For additional setup details, refer to Auto-Email Overview

Grid Fields

Template ID

The identification for template.

Delete

Click the Delete icon Delete icon to delete a template.

Add

Click to open the Add Auto-Email Template tab. This allows you to create a new Auto-Email template.

Find Template

Use this button to locate an existing template if it is not displaying on the grid. Type a template ID and then click the Find button.

Add/Edit Auto-Email Template Fields

Template ID *

Enter a meaningful identification for the template you are creating. The naming convention is up to you. Examples:

Work Order template: WO or WO_PropID
Guest Card template: GC or GC_Group1

Subject *

The subject of the Auto-Email.

Email text *

Enter the text of the Auto-Email using the HTML editor. Graphics can be embedded into the email text.

Attachments

Check the box for each attachment to include with the Auto-Email.

ClosedTo Add or Edit an Auto-Email Template

  1. Make sure that any attachments you want to attach to the Auto-Email have been uploaded.
  2. From the eSite menu, select Setup—Global—Auto-Email Templates.
  3. If adding a new template, click Add; if editing a template, click the Template ID. The Add/Edit Auto-Email Templates tab opens.
  4. If adding a new template, enter a Template ID. If editing, the Template ID is display-only.
  5. Add or edit the Subject of the email.
  6. Use the HTML editor to add text or edit the body of the email. If you click Insert HTML then you can enter HTML, URLs, and also use the following placeholder fields within the body of the email, although not all keywords pull information for every activity:
    @Property
    @Recipient
    @Manager
    @WO
    @ActionDate
  7. In the Attachments area, check the box for each attachment to include with the Auto-Email.
  8. Click Save. The Auto-Email template is saved and the Auto-Email Template grid appears.

ClosedTo Delete Auto-Email Templates

  1. From the eSite menu, select Setup—Global—Auto-Email Templates.
  2. Click the Delete Delete iconbutton for the template you want to delete.
  3. Click OK to confirm.
