When you have
set up, use this tab to define "Activities" for the current
property so that the system automatically sends an email to a Guest, Applicant,
Resident, Guarantor, or all Occupants immediately on or after a specified
amount of time following the trigger Action for the Activity.
Note
A red asterisk ( * )
indicates a required field or selection.
Grid Fields
Activity ID
The identification for the Activity.
Description
A description of the Activity.
Active
The active status of the Activity: Y = Yes; N=No.
Delete
Click the Delete icon
to delete an Activity.
Add Activity
Click to open the Add Auto-Email Activity tab.
This allows you to create a new Activity.
Find
Use this button to locate an existing Activity
if it is not displaying in the grid. Type an Activity ID and then click
the Find button.
Add/Edit Auto-Email Activity Fields
Activity ID *
Enter a meaningful identification for the Activity
you are creating. The naming convention is up to you. Examples:
Work Order Activity: WO
Description *
Enter a meaningful description for the Activity.
Example: Work Order Closed.
Type
*
Select the type of Activity from the drop-down
list. Options include Guest card created, Application approved, Actual
move-in, Actual move-out, Rent payment posted, Work order closed, (Not
set).
Sent email *
Select from the drop-down list when to send the
email: Immediately or After
activity. If you selected After activity
then the next two fields are available so that you can specify the number
of hours or days after the activity to send the email. For example, if
you selected After
Activity 1
Day
then the email would be sent 1 day after the activity.
Email from *
Type the email address of the sender into the
field in the standard format name@company.com.
Send email to *
Select from the drop-down list who the email is
to be sent to. Options include Current Resident, Guarantor Only, All Occupants,
Guest (available only when Type Guest
card created is selected).

used in the Send email to field
from the Email field on these pages:
Guest: Leasing—Guest

Email Template *
Select from the drop-down list the
that the system is to use to create the email.
Active
When the box is checked (default) this Activity
is set to Active status and the system sends Auto-Emails according to
the options defined here. Uncheck the box to set this Activity to Inactive
status and no email is sent for this Activity.
