Edit: Inventory Codes
Make the following menu selections to display this page.
Inventory—Setup—Inventory Codes—(select an Inventory code)
Use this menu item to add Inventory Codes to the system.
Inventory
Codes are used with Inventory functions.
Below is a list of the Inventory Codes and possible examples of each. Set
up Inventory Codes to meet your organization's needs. Refer to Setup Questions for additional information.
Class
Class codes define general types of items. Use Class codes to group items together for reports and/or to specify common General Ledger accounts for posting.
Examples: Class A, Class 155, Appliances A, HVAC, Electric, Flooring, Supplies
NOTE that Class codes must be defined before Subclass codes.
Manufacturer
Manufacturer codes Identify the producer of the item. Use this code to group items that were purchased from the same manufacturer for reports or making percentage cost changes.
Examples: Kohler, Maytag, Quality Carpet, Charmin
Subclass
Subclass codes identify specific items within a Class. Subclass codes can be used to group similar items together for reports.
Examples: Fixtures, Laundry, Padding, Carpet, Toilet Paper, Nails, Solvents
User Code 1, User Code, 2, User Code 3
User Codes are groupings of system-supplied codes with labels can be edited to be custom for your needs. These codes appear
on forms, in groupings on menus, and are used to select information to
appear on reports.
Examples: Substitute Item, Warranty, No Warranty, Bank of America, John Doe,

User Code/Description Fields
A red dot indicates a required field or
selection.
User Code
The read-only User Code, for example, "Class." This label is hard-coded into the system.
Description
The description of the User Code. The description
defaults to the label that is hard-coded into the system, but is sometimes editable
so that you can customize to your organization's needs.
The Description is used as the User
Code label in the Inventory Codes submenu that you just selected
it from. As it is used as a label the submenu, it cannot be blank.
Example:
For the default Inventory User Code "User Code 1," if you change the description to "Warrantee," then "Warrentee"
appears in the submenu after you save changes.
The submenu path would be:
Setup—AR
Setup—AR
Codes—User Code 1 (the default)
Setup—AR
Setup—AR
Codes—Warratee
(after the Description was changed and then saved)
NOTE that for Class and Manufacturer, the label is hard-coded into the system and cannot be changed.
Code/Description table
You can add Inventory User Codes by completing Code
/ Descriptions lines here. A new line appears automatically as you complete
the fields in a line.
The codes that you add are shown when a user clicks on
the lookup for a field in Setup—Global Setup— Item Master.
You can add as many Code / Description combinations as
you need.
Code
Enter the Inventory code into the field.
For example, for the User Code Class enter
" Flooring - A".
Description
Enter a description for the code just entered.
For example, continuing the example for the User Code Class, enter "Flooring - Premium".
NOTE that entering a Code is optional, but if you enter
a Code then the Description is required.
Buttons
Click to delete a Code / Description combination.
Save
Click to save changes. The lookup on the setup
Inventory User Codes tab refreshes to show
any changes.
Procedure
To Edit Inventory
Codes
- Select Inventory—Setup—Inventory Codes—(select a
code to edit). The Edit page appears for the code you selected.
- Note that the default
User Code cannot be edited; however the label for the default User Code
can sometimes be edited.
To change the label for the default User Code, edit the Description
field. This is optional (or sometimes the field is not editable).
- To add a code, in
the Code/Description table, enter a code and a description for the code
in the appropriate fields.
To edit a code, make changes to the Code/Description table as needed.
- Repeat the previous
step to add/edit Code/Description combinations in the table.
- When done adding
to or editing the Code/Description table, click Save.
Note
When you save, two things happen:
The Inventory—Setup—Inventory Codes submenu refreshes to show any changes to the label
of the default User
Code.
The Codes/Descriptions you added/edited in the table
are saved as options for the various lookups
in Setup—Global Setup Item Master.
Effect of Permissions
Permissions must be set in the System module to access
the Inventory Codes menu item. Each individual User Code has a permission as well.
