Make the following menu selections to display this page.

Setup—AR Setup—AR Codes—(select an AR code)

Use this menu item to add AR Codes to the system.

AR Codes are used to set up Customers. Below is a list of the AR Codes and possible examples of each. Set up AR Codes to meet your organization's needs.

Customer Type

Examples: Commercial, Governmental, Residential, Service Contract

Cycle

Examples: Annually, Monthly, Quarterly, Semi-Monthly, Weekly

Location

Examples: City, County, East Side, North Side, South Side, West Side

Priority

Examples: As soon as possible, Emergency, High, Low, Medium, Routine

Salesperson

Examples: Amanda Cleary, David Dunn, Mila Nichols, Patrick Zephram

Service Type

Examples: After Hours Service, Contract, Fee for Service, Flat Fee for Service, Weekend Service

Fields

A red dot Required field indicates a required field or selection.

User Code

The read-only User Code, for example, "Customer Type." This label is hard-coded into the system.

Description

The description of the User Code. The description defaults to the label that is hard-coded into the system, but is editable so that you can customize to your organization's needs.

The Description is used as the User Code label in the AR Codes submenu that you just selected it from. As it is used as a label the submenu, it cannot be blank.
Example:

For the default AR User Code "Customer Type," if you change the description to "Type," then "Type" appears in the submenu after you save changes.

The submenu path would be:

Setup—AR Setup—AR Codes—Customer Type (the default)

Setup—AR Setup—AR Codes—Type (after the Description was changed and then saved)

Code/Description table

You can add AR User Codes to the selected EntityCompany by completing Code / Descriptions lines here. A new line appears automatically as you complete the fields in a line.

The codes that you add are shown when a user clicks on the lookup for a field in the setup Customers General tab.

You can add as many Code / Description combinations as you need.

Code

Enter the AR code into the field, for example CON (for Service Contract).

Description

Enter a description for the code just entered, for example, Service Contract.

Entering a Code is optional, but if you enter a Code then the Description is required.

Buttons

Click to delete a Code / Description combination.

Save

Click to save changes. The lookups on the Customer General tab refresh to show any changes.

Procedure

ClosedTo Edit AR Codes

  1. Select Setup—AR Setup—AR Codes—(select a code to edit). The Edit page appears for the code you selected.
  2. Note that the default User Code cannot be edited; however the label for the default User Code can be edited.

    To change the label for the default User Code, edit the Description field. This is optional.
  1. To add a code, in the Code/Description table, enter a code and a description for the code in the appropriate fields.

    To edit a code, make changes to the Code/Description table as needed.
  2. Repeat the previous step to add/edit Code/Description combinations in the table.
  3. When done adding to or editing the Code/Description table, click Save.

Note

When you save, two things happen:

The Setup—AR Setup—AR Codes submenu refreshes to show any changes to the label of the defaultUser Code.

The Codes/Descriptions you added/edited in the table are saved as options for the AP User Code's lookup in the Customer setup General tab.
