Verifying ePay Setup with the Pre-Note Option
The Pre-Note Listing report was designed to verify ePay
setup data. Only residents newly set up for ePay and existing residents
with ePay-related edits display on the report. This report should be run
when you set up new residents for ePay, and also when you modify or cancel
someone’s ePay account.
This report provides information only on the period
since the last report was run. Once generated, it cannot be run again
unless some addition or change is made to a resident’s ePay account setup.
It does not maintain cumulative data.
Report Details
The report header includes the type of report being generated,
name and other details regarding the property for the selected resident,
and the date the report is generated. The body of the report provides
the following information.
Building/Suite
The building and suite number for the selected
resident.
ID
The resident ID number.
Name
The primary resident’s name.
Routing
The bank routing number.
Transit #
The bank transit number.
Bank Acct #
The bank account number to be drafted.
Amount
The amount to be drafted.
Note
The report will print only if there has been new activity
since the last Pre-Note Listing Report was run. A message displays if
there has not been any new activity since the last Pre-Note Listing Report
was run and the Pre-Note menu option was accessed.
Fields
Preliminary
A check box used to indicate if this Pre-Note Report
should be considered a preliminary run or the actual Pre-Note Report.
Checked – A preliminary
Pre-Note Report prints with a notation indicating this is a preliminary
run. The ePay records will not be marked as being pre-noted.
Unchecked – A Pre-Note
Report prints with a notation indicating this is the final run. The ePay
records will be marked as pre-noted.
Create Prenote Records in ACH file?
This field is disabled when a checkmark is added
to the Preliminary? check box. When enabled, this field works like this:
Checked – Zero amount
records are created in the ACH file using the currently selected format.
Unchecked – No records
are created in the ACH file.
To Generate an ePay Note Listing Report
Note
You must have set up or edited the set up of one or more
residents before the system can generate a Pre-Note Listing Report.
- From the eSite menu,
select ePay, Pre-Note.
The ePay Pre-Note Listing displays.
- Complete the fields
using the Fields lists.
- Select the report
format: Acrobat Reader or Excel.
- Click
Process. A report window opens.
- View, print, or save
the report, and then close the report window. The Dashboard displays.
