Property Renumber/Delete/Copy Tab

Make the following selections from the eSite menu to display this page:

Special—Housekeeping—Renumber/Copy—Property Renumber/Delete/Copy

Use this tab to process all records for a specified property or group of properties based on the action selected: Renumber, Delete or Copy.

NoteNote

After a property is renumbered or copied, you cannot run the Untransfer to GL utility for an individual transfer ID for the property. However, you can run the utility by using either the By Batch or By Period option instead.

Any Guest Card created using the Global Guest Card functionality loses its association with the original Guest Card. This applies to copying a Guest Card to a new database or to copying within the same database. This change does not affect renumbering a property within the same database. In that case, the original Guest Card association remains in place.

ClosedEntity IDs

When copying a property for which the Property and Entity IDs match, the process creates the new property and entity with matching IDs. However, if the original Property and Entity IDs do not match, the system creates a new Property ID and retains the original Entity ID. This change affects only property loss to lease accounts, income code detail, expense accounts (for commercial recoveries), and management fee accounts.

Action

Select the action that best describes what you want to do from the drop-down list. Options include:

- Renumber—use this option to renumber a property in the same database; assigning new property numbers to all related records, to move a property from the current database to a new database; assigning a new property number, or copy a property to a new database; assigning a new property number or to copy a property in the same database; essentially duplicating the property within the current database.

- Delete—use this option to remove one or more properties from the current database.

- Copy—use this option to move one or more properties from the current database to a new database; keeping the original property number or to copy one or more properties to a new database; retaining the same property number in both databases.

Old Property

Number

Use the drop-down to select the number of the old property to renumber, copy or delete based on the selection made in the Action field.

Delete Old Property?

The display and setting of this field varies based on the selection made in the Action field.

- If Renumber, then this field displays but is not editable.

- If Delete, then this field is hidden.

- If Copy, then this field displays and the following applies:

Accept the unchecked default to keep the old property information available for reuse. Or, check to delete it.

Database

A display-only field used to identify the currently selected database.

New Property

Number *

The display and setting of this field varies based on the selection made in the Action field.

- If Renumber, then this field displays and the following applies:

Enter the new property number or ID used to identify the renumbered property.

- If Delete, then this field is hidden.

- If Copy, then this field displays and the following applies:

Enter the new property number or ID used to identify the renumbered property.

Database

This field only displays when Copy is selected from the Action field. Use the drop-down to select the database to copy the new property to.

Run in single-user mode

NoteNote

When this option is selected (default), it automatically switches the database to single-user mode, which prevents other users from logging in until the process completes. It is strongly recommended that single-user mode be used.

Checked (default) - Puts the system in single-user mode, with only your connection to the database allowed, while the process runs. A message displays when other users are logged into the eSite database, and in that case, the process cannot be run in single-user mode.

As an alternative, you can uncheck the box and then the system does not run the process in single-user mode.

Unchecked - The system remains in multi-user mode while the process runs. This is the default condition of the system, as it is designed for multiple users to be logged in concurrently.

Selecting this option automatically switches the database to single-user mode which prevents other users from logging in until the process completes. Confirm your property selection using Select Properties.

  1. Complete the tab. For help, refer to the Fields list.
  2. Click OK. The system processes the purge request and depending on your selections, may or may not include printed records.
