This tab appears when you select Leasing—Lease Changes—(select a tenant)—Recoveries and then click Add Recovery or select a recovery from the Recoveries Grid.
Note
For Tenant Sq Ftg field, if a tenant is set to Pre-determined Percentage, then the Actual and Estimate Worksheets do not list a denominator and Tenant Sq Ftg shows a pre-determined percentage instead of a square footage amount.
Note
Some fields show or hide based upon previous selections. Not all fields may appear on the page.
You can enter up to four decimal places for all percentages and amounts, with a maximum number of eight characters, including the period.
Tenant Sq Ftg
Use the drop-down to select the percentage to use when calculating a tenant's prorated share of operating expenses or the type of square footage to use in the percent calculations.
Rentable – The rentable square footage assigned during Suite Setup for the corresponding suite.
Useable – The useable square footage assigned in the Suite Setup for the corresponding suite.
Leasable – The leasable square footage assigned in the Suite Setup for the corresponding suite.
User-Defined – An alternate user-defined square footage amount assigned in the Suite Setup for the corresponding suite.
Predetermined Sq. Ftg – A user-defined square footage amount that is manually entered by the user in this screen. If selected, the Pre-determined Sq. Ftg field displays.
Predetermined Percentage – A user-defined percentage amount that is manually entered by the user in this screen. If selected, the Pre-determined % field displays.
Pre-determined Sq. Ftg
A user-defined square footage. If Predertermined Sq. Ftg. is selected, this field displays. Enter a pre-determined square footage of the suite specified in the lease, that is different than the Rentable, Usable, Leaseable or User-Defined square footage for the suite.
Pre-determined %
A user-defined percentage. If Predertermined Percentage. is selected, this field displays. Enter a pre-determined percentage specified in the lease to be used as the % Share in the recovery calculation.
Denominator
Use the drop-down to select the denominator to use when calculating recoveries for this tenant. This determines the Property Sq. Ft. that will divide the Tenant Sq. Ft. to calculate the % Share during the recovery process.
Rebilling Exp Descption
Enter a description or descriptive name for the recovery escalations. This is used as an identifier and will print on invoices when they are generated. Example: Rebilling Base Year 2014.
Max Grossup %
Enter the maximum gross-up percent that can be charged to the tenant. The expense account under Setup–Rebilling–Recoveries–Expense Tables must have the Gross Up? flag checked for an expense account to be calculated with the Tenant Max Gross Up %.
Add On Factor %
Enter the percentage amount used to calculate additional fees, such as Administrative costs. This percentage is calculated after the Share of Operating Expense is determined but before the Net Share of Operating Expense is calculated.
Share of Operating Expense * Add on Factor % - Base Amount (compared to Min/Cap) = Net Share of Operating Expense.
Days After Escalation to Mail
Enter the number of days grace the management company has to mail invoices after the recovery escalations are run.
Due
This field is used to calculate the transaction due date for the recovery adjustment charge and the retroactive billing charge for each recovery record for each tenant. The transaction due date is calculated by the recovery processing date plus the tenant’s recovery record Due date.
Expense Cap Type
An Expense Cap is a maximum amount of recovery escalation charges that a tenant can be charged during the Recovery process. Use the drop-down to select the type of expense cap to use when recovering expenses that may be billed back to the tenant.
None - No expense cap.
Fixed Amount – The expense cap is expressed as a fixed amount.
Dollar Per Sq Ft – The expense cap is expressed as a $/Sq Ft.
If you select Fixed Amount or Dollar Per Sq. Ft., the following fields are triggered.
Initial Cap Value - Enter the dollar amount used as the cap (ceiling) for escalation charges. This field is triggered by selecting Fixed Amt or Dollar Per Sq Ft from the Expense Cap Type drop-down list.
Cap Changes by Flag - Use the drop-down to select the method used to handle changes to the tenant's expense cap tables, and then another related field appears. Options:
Percent Change - The Cap Changes By % field appears. The expense cap is expressed as a percentage. Enter a percentage.
Flat Amt - The Cap Changes By Amt field appears. The expense cap is expressed as a fixed amount. Enter an amount.
Table - The Expense Cap Table field appears. Before you can use this option, you must have set up Expense Tables under the Setup menu (Setup—Rebillings—Recoveries—Expense Cap Tables). Use the drop-down to select a table.
Cap Changes Flag - A check box used to indicate the calculation to use for calculating the cap increase.
Checked – (Last Calculated Cap plus/times Cap Changes by) + Last Calculated Cap
Unchecked – (Initial Cap Value plus/times Cap Changes by) + Last Calculated Cap
Rebill Min Type
Use the drop-down list to select how the minimum amount billed to tenants for recovery escalation charges should be expressed.
None - No expense minimum
Dollar Per Sq Ft - The minimum amount billed should be expressed as $/Sq Ft.
Fixed Amt - The minimum amount billed should be expressed as a fixed amount.
Rebill Min Amt
Enter the minimum amount to bill the tenant for recovery escalation charges.
This field is triggered by selecting Dollar Per Sq Ft or Fixed Amt from the Rebill Min Type drop-down list.
Note
If Dollar Per Sq Ft is selected for either Expense Cap Type and/or Rebilling Min Type, the Tenant Sq Ftg cannot be Predetermined Percentage.
Estimate Type to Use
Note
The frequency for this field is determined by your selection in the Estimate Freq field.
Use the drop-down list to select the method to use when estimating the tenant's recurring charges for next year. Calculates the new Recurring Charges for a tenant under Estimate Recoveries or Actual Recoveries
Actual Amt – (Default) The Recovery Process recalculates the tenant's charge based on the actual expenses for the billing period (the year being recaptured).
Budget Amt – The Recovery Process recalculates the tenant's charge based on the budget amounts for the following year.
Next Year Budget Amt – During estimates, the Recovery Process uses the budget amounts for the next year and the recurring charges are calculated based on selections made for Retroactive billing and Calculate Estimates based on Remaining Months on the Estimate Recovery or Actual Recovery tabs.
Forecast Amt – The Recovery Process recalculates the tenant's charge based on the forecast amounts for the following year.
Estimate Freq
Use the drop-down list to select a frequency for the tenant's monthly recurring charges for next year: Annual, Monthly, Quarterly, Semi-Annual; select None if the tenant charges are not estimated.
Last Recovery Anniversary Date
Displays the recovery anniversary date in MM/DD/YYYY format. The Recovery Anniversary Date is populated by the system after the first time the Recovery process is run for the Tenant. The Recovery Anniversary Date is set from the Recovery period that the recovery process is run from. The system enters the first day of the Recovery process date. This field works with the Expense Cap Changes for future Recovery processes.
Note
The Last Recovery Anniversary Date is automatically calculated by the system during the Actual Recovery process. The system uses the Recovery process begins date to set the Anniversary Date. If an Anniversary Date exists in the field, the system uses that date to calculate the new Anniversary Date the next time Actual Recoveries are processed.
Last Actual Recovery Run
Last Expense Cap Amount
Display only. Shows the last expense cap amount that was processed for the tenant. The amount is populated by the system when the Recovery process is run for the Tenant.
Last Calculation Date
Display only. Shows the Recovery Date that was last processed for the tenant in MM/DD/YYYY format. The Recovery Date is populated by the system when the Recovery process is run for the Tenant. The last day of the recovery process is used.
