Bulk Move-Ins
Make the following menu selections to display this tab:
eSite—Bulk
Leasing—Move-In
Use Bulk Move-In
to enter multiple move-ins at one time. The grid displays a list
of residents who are status Applicant, Approved, or Leased—who
have not yet had their move-ins entered.
Using this tab you can review
or edit recurring charges and assign bedrooms to wait-listed residents.
Residents are shown on the
grid with a note in the Select column if they have incomplete information
entered into the system. Hover over or click on the note to obtain the
reason they are not approved to move in.
Fields
Note
A red asterisk ( * )
indicates a required field or selection.
Property
The display-only property name.
Leases Selected
The number of leases selected in the grid.
Move-In Date *
The date the move-in is entered.
Displays the system date as the default or you may enter another date
using the format mm/dd/yyyy. Or, use the Calendar
Button to select a date.
Grid Fields
Bldg
The building identification that appears on lists
and in reports. Click the column title to sort the list by building.
Bedroom
The bedroom identification that appears on lists
and in reports. Click the column title to sort the list by bedroom.
Addt'l
An icon appears for any master
Building/Unit that has additional leased unit(s) associated to it. Rest
your cursor on the icon and a tool tip shows the building/unit of the
additional unit(s).
First Name
The resident identification that appears on lists
and in reports. Click the column title to sort the list by first name.
Last Name
The resident identification that appears on lists
and in reports. Click the column title to sort the list by last name.
Charges
Select the link to edit recurring charges on the
Charges Tab.
Wait List
Select the link to edit the wait list using the
Wait List: Select New Bedroom
Tab.
Status
Displays status: Applicant, Approved, or Leased.
Select
Header—Put
a check mark in the Select column header to select all residents at once.
A checkmark in the check box next to a lease indicates the resident is
selected.
Detail—Click
in the check box next to a resident to select one resident at a time.
Note—Hovering
over or clicking on a note in the Select column provides a message that
explains why move-in is not allowed. For example, the message may read,
"Move-in to an Occupied unit is not allowed." There may be more
than one reason that move-in is not allowed, however only one note displays
at a time. When one issue is resolved, if there is another issue prohibiting
move-in a new note will display. This continues until all issues are resolved.
At that point, a check box displays in the column so the resident may
be selected for move-in.
Button
Use the Find Button
to locate a move-in by bedroom.
To Perform a Move-In
- Move-In Date defaults to the current system date. Accept
the default or enter another date using the format mm/dd/yyyy. Or, use
the Calendar Button to select
a date.
- Use
the grid to locate the leases to work with, and then select the check
boxes in the far-right column for those leases. Or, mark the Select
check box in the header to select all leases.
- Select
the Charges link to open the Charges
Tab so you may review or edit recurring charges to ensure accuracy.
This is optional but recommended.
- If
applicable, select the Wait List link to open
the Wait List Tab to assign
a resident to an available space to lease.
- When
done selecting leases for which you want to enter a move-in, select the
Do Move-Ins button. A pop-up message displays.
- Select
OK to approve the move-ins. The system enters
the move-ins for the selected residents and prints the Bulk Move-In Report.
Note
Based on the User Policy, Allow
changes during Move-in, a user may be restricted from charging
anything during the bulk move-in process for the Student Housing Property
Type. If
a user does not have the permission, the recurring charges will not be
listed during the move-in process, the system will not prorate any amounts
for the new resident, the Fees & Security screen will not be listed,
regardless of property policy settings. The Next Due date for the charges
for the residents will be left blank so that the residents will get billed
correctly during the BOD or Lease Changes process. The permission is found
in the System module at Security—Users—eSite—Leasing—Application &
Movein.
Bulk
Move-In Report Details
Property Name
The name of the property.
Move-In Date
The move-in date.
Bedroom
The bedroom identification that appears on lists
and in reports.
Resident
The resident name that appears on lists and in
reports.
Inc Code
The income code assigned to the funds collected
for this lease.
Description
Any messages regarding leasing that may be associated
with this resident.
Pro-In Date
The Prorate-In date, i.e., the date when the proration
of charges begins.
FFP Date
The First Full Period Date, i.e., the date when
the first full period begins.
Charge Amount
The amount charged for this lease.
Charge Begins
The date that the charge begins for this lease.
Charge Ends
The date that the charge ends for this lease.
Prorate Amount
The prorated amount charged for this lease.
Total
Column totals display for each resident and for
the report as a whole.
Total Move-Ins
The total number of move-ins.
