Make the following menu selections to display this grid:
Setup—Global Setup—Warehouse Items
Use this grid to manage inventory items and the warehouses that are associated with the items. When you select to add or edit a Warehouse Item, the Add/Edit Warehouse Item page appears. This page contains the descriptive and user-defined additional information for the Warehouse Item.
NOTE
If you have the "Lite" version of Inventory, valuation is not included; therefore, valuation options do not show in this menu item.
Fields
Grid
The following fields and buttons show on the grid.
Add Warehouse Item (button)
Click the button to add a new Warehouse Item. The Add/Edit page appears. Refer to instructions later in this topic for information on how to add or edit a Warehouse Item.
Use the next two options to select Warehouse Items to appear in the grid.
Warehouse ID
Click the Lookup icon to display the Select Warehouse pop-up and select a Warehouse. The Items for the Warehouse that you selected then appear in the grid.
Include all Warehouses (check box)
Check the box and all Items from all Warehouses appear in the grid.
This box is checked by default.
Notes
To change what you see in the grid, for some columns you can do the following.
Click the column title to sort the list.
Click the Filter button to filter the grid by this column.
Item ID
The Warehouse Item identification that appears on lists and in reports.
Click the Item ID link to display the Add/Edit page to view or edit Warehouse Item information.
Description
The description of the Warehouse Item that appears on lists and in reports.
Warehouse ID
The Warehouse Item identification that appears on lists and in reports.
Quantity Available
The quantity of the Warehouse Item that is available in the Warehouse.
Documents
One of the following icons appears in this column:
No documents are currently stored for the Warehouse Item. Click the icon to upload documents for the Item.
At least one document is currently stored for the Warehouse Item. Rest your mouse pointer on the icon to see the number of documents stored. Click the icon to view, add, or delete documents.
For more information, refer to the Documents Tab instructions.
Delete
Use the Delete button to delete a Warehouse Item. Only Items with no transactions have the Delete icon available.
If any transactions have been tied to the Warehouse Item, the delete icon does not appear. To delete these Items, use the Delete Items functionality.
Add / Edit Warehouse Item
As you make selections, information may default into some fields automatically.
NOTE that a red dot indicates a required field or selection.
Add or edit information about the Warehouse Item.
Warehouse ID
The Warehouse identification that appears on lists and in reports.
To add or edit the Warehouse ID, click the Lookup icon to display the Select Warehouse pop-up and select a Warehouse.
Item ID
The Inventory Item identification that appears on lists and in reports.
To add or edit the Inventory Item ID, click the Lookup icon to display the Select Inventory Item pop-up and select an Item.
Description
The description of the Item that appears on lists and in reports.
This is display-only information from the Inventory Item record.
Part Number
The part number for the Item that appears on lists and in reports.
This is display-only information from the Inventory Item record.
Bin
The bin number that shows the location in the warehouse for the Item.
This is display-only information from the Inventory Item record.
Overhead Percentage
The percentage amount to be added to the cost of inventory items stored in the warehouse in the format 0.0000.
You can add or edit this information.
Last Cost / Price Change (date field)
Click in the field and use the Electronic Calendarto select the date of the last cost or price change.
Last Received
Click in the field and use the Electronic Calendarto select the date of the last receipt of the Warehouse Item.
Last Shipped
Click in the field and use the Electronic Calendarto select the date of the last shipment of the Warehouse Item.
User Code 1 - 3
The User Code for the Warehouse Item that appears on lists and in reports.
Click the Lookup icon to display the Select User Code pop-up and select a User Code.
When adding a new Warehouse Item, this section does not appear. It shows the following information about a Warehouse Item in edit mode only. This information is pulled from other parts of the system:
Quantity on Hand
Quantity on Reserve
Quantity Available
Quantity on Order
Valuation Quantity
Average Cost
Add or edit the additional information about the Warehouse Item in the next sections:
Reorder Information, Costing Information, Shipment Expense, and Serialized.
Add or edit information for these fields.
NOTE that a red dot indicates a required field or selection.
Reorder Point
The unit quantity that indicates that the quantity of an item has reached a level designated for reordering. In other words, the point at which the Item should be reordered. This defaults to zero days.
Economic Reorder Point
The reorder quantity (in units) that has been specified as the most economical to make for a purchase. In other words, the point at which the Item should be reordered. This defaults to zero days.
Lead Time in Days
The number of days that it usually takes for the item to be received after an order has been placed. In other words, the number of days lead time that is needed to reorder the Item. This defaults to zero days.
Automatically Reorder (check box)
Indicates to the system if the Inventory Item for this Warehouse should be automatically reordered.
NOTE that this check box defaults as checked in Add Warehouse Item mode. When it is checked and the following additional fields appear.
Reorder Vendor ID
Click the Lookup icon to display the Select Vendor pop-up and select the Vendor ID for the reorder of this item.
Reorder Property
The Property
Click the Lookup
icon to display the Select Property
If you have the "Lite" version of Inventory, valuation is not included; therefore, this option does not appear.
Reorder Expense
The Expense Code to charge the reorder to.
Click the Lookup icon to display the Select Expense Code pop-up and select the Expense Code to charge the item to.
If you have the "Lite" version of Inventory, valuation is not included; therefore, this option does not appear.
Reorder Quantity
The quantity of the Item that you want to reorder automatically.
Click in the field and type a value
Standard Unit Cost
The standard unit cost for the Item. The default is 0.000.
Last Unit Cost
The last unit cost recorded for the Item.
Unit Price
The amount to charge for each warehouse unit. This is the billing amount that can be used in billing. In other words, the unit price for the Item. The default is 0.000.
Shipment Expense
The Expense Code for the shipment expense for the Item that is being ordered automatically.
Click the Lookup icon to display the Select Expense Code pop-up and select the Expense Code to charge the shipment to.
NOTE that this expense code can be different from the reorder expense code and is used in non-job related shipments and as the Valuation Inventory default expense code in eService Work Orders.This field does not show for the Lite version of inventory, as shipments do not require or show expense codes when valuation is not being used, i.e., will not show in eService on the Inventory Usage page.
Serialized (check box)
Check the box and the Item is serialized, meaning a serial number can be recorded for it. This is most commonly used on high-value goods for more precise tracking or for warranty claims.
Procedures
Additional Information
The EntityCompany Policy Group settings in eFinancials for Post to closed Jobs - Inventory Entry and Post to non-existent Phase and Cost Codes - Inventory Entry are checked by the system (allow, not allow, and allow with warning).
Permissions must be set in the System module to access the Warehouse Items menu item. Separate add, edit and delete permissions are available.
