Reports Affected by Unit Active and Inactive Dates

The following list of reports identifies which reports are affected by the use of Unit Active/Inactive dates and what changes have been made to accommodate this feature. If you are not using Unit Active/Inactive dates (i.e., these policies are not active) then the following information does not apply to you and your reports function as usual.

Since reports are based on one of two types of date criteria, report selection dates and date ranges, the reports listed below are grouped by date criteria. Listed first are the reports that use selection dates, and then you'll find the list of reports using date ranges.

Rent Roll Report	—Reports—Management Reports—Rent Roll	A report prompt, Include Inactive Units, is added to the report screen. Checked – always include Inactive units, regardless of activity or lease status. Generally these units display as Vacant units, however, any unit with activity may be included. Unchecked - (default) Inactive units are not included. Note: If a lease meets other report selection criteria, it is included regardless of the Active or Inactive state.
Occupancy & Availability Report	—Reports—Management Reports—Occupancy &Availability	Based on the report selection date, Inactive units are skipped. If the report is run for a date previous to the Inactive date, then only activity for those previous dates are included. Activity on or after the Inactive date is always excluded.
Rent Roll Recap Report	—Reports—Management Reports—Rent Roll Recap	Based on the report selection date, units with no activity during the Current Accounting Period* are excluded from the unit totals printed on the report.
Property Status Report	—Reports—Management Reports—Property Status	Units with no activity during the Current Accounting Period* are excluded from unit counts.
Reconciliation Report	Reports, Accounting Reports, Reconciliation	The detailed breakout section only includes units Active during the Current Accounting Period* or those that have transactions that would appear on the report regardless of the Active/Inactive state of the related unit.
Lost Rent Report	—Reports—Audit Reports—Lost Rent	Only units that were Active as of the Current Accounting Period* are included.
		Note: If Lost Rent is based on Days Vacant, then the lost rent calculation is modified to exclude any days the unit is considered Inactive.
Unit List Note: Depending on your policy settings, this report could be named, Apartment Availability.	—Reports—Setup Reports—Unit List	A report prompt, Include Inactive Units is added to the report screen. Checked – Inactive units print with the associated Active and Inactive dates. Unchecked – (default) Inactive units are not included.
Rent Roll by Building	—Reports—Building Reports—Rent Roll by Building	A report prompt, Include Inactive Units is added to the report screen. Checked – Include Inactive units, regardless of activity or lease status. Generally these units display as Vacant units, however, any unit with activity may be included. Unchecked - (default) Inactive units are not included.
		Note: If a lease meets other report selection criteria, it is included regardless of the Active or Inactive state.
Reconciliation Report	—Reports—Building Reports—Reconciliation	The detailed breakout section only includes units Active during the Current Accounting Period* or those that have transactions that would appear on the report regardless of the Active/Inactive state of the related unit.
Occupancy & Availability	—Reports—Building Reports—Occupancy & Availability	Based on the report selection date, Inactive units are skipped. If the report is run for a date previous to the Inactive date, then only activity for those previous dates are included. Activity on or after the Inactive date is always excluded
Unit Availability Note: Depending on your policy settings, this report could be named, Apartment Availability.	—Reports—Management Reports—Unit Availability	Based on the report selection date, the following applies: Units with an Active date within the current accounting period are included on the report. Units with an Inactive date within the current accounting period are not included on the report. Units with a future Active date are not included on the report.

Weekly Boxscore Report	—Reports—Leasing Reports—Weekly Boxscore Report	Only units considered Active during the specified week are included. Note: This applies to the all sections of the report, except the Occupancy section. The totaling columns for this section include counts for units active during the Current Accounting Period.*
Security Deposit Audit	—Report Reports—Audit Reports—Security Deposit Audit	An exception labeled, Resident in Inactive unit, with a security deposit on hand is added to the report screen.
Property Status by Building	—Reports—Building Reports—Property Status	Units with no activity during the Current Accounting Period* are excluded from unit counts.
