Renewal Summary Report

Make the following menu selections to display this page:

Reports—Renewal & Forecast—Renewal Summary

This report shows leases expiring during a selected monthly or weekly reporting period based on a defined period end date and sorts the results in unit or unit type order.

Select Properties

Click to select properties from the Select Properties tab. The report runs for all selected properties.

Reporting Period

Accept the default (Weekly) to display renewal activity on a weekly basis. Or, select the Monthly radio button to display renewal activity on a monthly basis.

End of Period *

Printing the report calls for a period end date. Enter the last day of the period to include using the format mm/dd/yyyy. Or use the Calendar icon to display a date.

Include Previous Resident

To exclude previous residents from the report, leave the check box cleared. Or, to include previous residents on the report, select the check box.

Sort By

Accept the default (Unit) to sort renewal activity by unit. Or, mark the Unit Type radio button to sort renewal activity by unit type.

Note

The following report details assume all defaults are selected. The display may vary depending on the criteria you select.

Apt

The building + unit number. For instance, 01-A101.

Type

The unit type + sub-type. For instance, 1B/1B Den.

Name

The primary occupant name. For instance, Sally Smith.

Lease End Date

The date the current lease expires, listed in mm/dd/yyyy format.

Lease Rent

The sum of all recurring charges for the resident that are marked Receivable for their current rent.

Current Market Rent

The unit market or street value, which may differ from the rent amount actually billed to the resident leasing the unit.

Outcome Status

The renewal status during the reporting period:

New Lease Rent

This value is based on the outcome status:

New Term

This value is based on the outcome status:

Leasing Agent

This value is based on the outcome status:

Renewal Summary

Type

The unit type + sub-type, listed as one line per type.

Total Apt

Total count of units per type and sub-type.

Renewed

Count of units whose renewal status = Renewing.

Vacated

Count of units whose renewal status = Vacating.

MTM

Count of units whose renewal status = MTM.

Average Terms

This is the sum of the new lease terms where the lease was counted in the Renewed and MTM columns. MTM leases are counted as having a term of 1 month.

This number is calculated as the Sum of Lease Terms/Renewing + MTM = Average Terms.

Average New Rent

This is the sum of the new lease rent where the lease was counted in the Renewed and MTM columns. MTM leases are counted as having a term of 1 month.

This number is calculated as the Sum of Lease Rent/Renewing + MTM = Average New Rent.

Average Market Rent

This is the sum of the new lease rent where the lease was counted in the Renewing and MTM columns. MTM leases assume to have a new rent equal to the current lease rent + the unit type MTM renewal charge.

This number is calculated as Sum of Market Rent/Renewing + MTM = Average Market Rent.

Total Apt Type

Column totals are listed by unit type and sub-type.

Future Expirations

Apt Type

The unit type + sub-type, listed as one line per type.

1-30 Days

Count of leases scheduled to expire within the next 30 days.

31-60 Days

Count of leases scheduled to expire within the next 60 days.

61-90 Days

Count of leases schedule to expire in the next 90 days.

Total

Column totals are listed.

Leasing Agent Recap by Unit Type

Apt Type

The unit type + sub-type, listed as one line per type.

Leasing Agent

The leasing agent ID responsible for signing the new lease, listed per unit type and sub-type.

Total

Column totals are listed.

ClosedTo Display the Renewal Summary Report

  1. From the eSite menu, select Reports—Renewal & Forecast—Renewal Summary.
  2. Click Select Properties. Select the properties for which you want to print the report and click Done.
  3. From the Reporting Period section, select your desired reporting period: Weekly or Monthly.
  4. From the End of Period field, accept the default date or type another date (mm/dd/yyyy) to use as the reporting period. Or, use the Calendar icon to select a date.
  5. To include data for previous residents on the report, select the Include Previous Residents check box.
  6. From the Sort By section, select your desired sort order for the report: Unit or Unit Type.
  7. Select a Report Format option: Acrobat Reader (default), Crystal Viewer, Excel.
  8. Click Display. If you selected the printing option, Excel, you are prompted to open or save the report Excel file. Otherwise, the report opens in your preferred format.
