Memos Report

Make the following menu selections to display this page:

Reports—Resident Reports—Memos

The Memos Report lists memos sent to residents, other properties, buildings, units, guests, occupants, and so on based on selected criteria.

Select Properties

Click to select properties from the Select Properties pop-up. The report runs for all selected properties.

Include Property Memos

Accept the unchecked default to exclude property memos. Or, check to include.

Include Resident Memos

Accept the checked default to include resident memos. Or, uncheck to exclude.

Include Building Memos

Accept the unchecked default to exclude building memos. Or, check to include.

Include Occupant Memos

Accept the unchecked default to exclude occupant memos. Or, check to include.

Include Apartment Memos

Accept the unchecked default to exclude apartment (unit) memos. Or, check to include.

Include Guest Memos

Accept the unchecked default to exclude guest memos. Or, check to include.

From Building

Printing the report calls for a building range to print from. Enter the first number of the building range. Or use the drop-down to display a lookup list.

To Building

Printing the report calls for a building range to print from. Enter the last number of the building range. Or use the drop-down to display a lookup list.

From Apt

Printing the report calls for a unit range to print from. Enter the first number of the unit range. Or use the drop-down to display a lookup list.

To Apt

From Guest

Printing the report calls for a guest card range to print from. Enter the first guest card number to include.

To Guest

Printing the report calls for a guest card range to print from. Enter the last guest card number to include.

Page Break On

Accept the Property default to indicate a page break should be inserted in between property data. Or, use the drop-down to select another option.

If page breaks should be inserted, use the drop-down to select where. Options include: Property (default), Building, Apartment, Resident, Occupant, Guest and Memo.

Include Current Residents

Accept the checked default to include residents with a Current status. Or, uncheck to exclude.

Include Applicants

Accept the checked default to include applicants with an Applicant status. Or, uncheck to exclude.

Include Wait List Applicants

Accept the checked default to include applicants with a Wait List status. Or, uncheck to exclude.

Include Canceled Applicants

Accept the unchecked default to exclude applicants with a Canceled status. Or, check to exclude.

Include Previous Residents

Accept the unchecked default to exclude residents with a Previous status. Or, check to include.

Notify From Date

Printing the report calls for a notify date range to print from. Enter the first notify date to include. Or use the Calendar Button to select a date.

Notify Thru Date

Printing the report calls for a notify date range to print from. Enter the last notify date to include. Or use the Calendar Button to select a date.

Action From Date

Printing the report calls for an action date range to print from. Enter the first action date to include. Or use the Calendar Button to select a date.

Action Thru Date

Printing the report calls for an action date range to print from. Enter the last action date to include. Or  use the Calendar Button to select a date.

Expiration From Date

Printing the report calls for an expiration date range to print from. Enter the first expiration date to include. Or  use the Calendar Button to select a date.

Expiration Thru Date

Printing the report calls for an expiration date range to print from. Enter the last expiration date to include. Or  use the Calendar Button to select a date.

Form Code(s)

Use the selection list to highlight the code of the memo form or forms to include.

ClosedReport Details

Note

The following report details assume all defaults are selected. The display may vary depending on the criteria you select.

Apt

The building + unit number. For instance, 01-A101.

Name

The primary occupant name. For instance, Sally Smith.

Form

The identifying memo form code.

Effective

The date the memo form is effective.

Expires

The date the memo form is set to expire.

Notify

If an action is associated with the memo, this is the date the system should notify you of that action.

Action

The date any action associated with the memo should occur.

ClosedTo Display the Memos

  1. From the eSite menu, select Reports—Resident Reports—Memos.
  2. Click Select Properties. Select the properties for which you want to print the report and click Done.
  3. Select the information you want to see on the report (refer to the Selection Criteria for this report).
  4. Select a Report Format option: Acrobat Reader (default), Crystal Viewer, Excel.
  5. Click Display. If you selected the printing option, Excel, you are prompted to open or save the report Excel file. Otherwise, the report opens in your preferred format.
