Mailing Labels Report

Make the following menu selections to display this page:

Reports—Misc. Reports—Mailing Labels

The Mailing Labels Report prints a listing of resident or occupant mailing addresses used to print mailing labels from. The system determines whether to print residents or occupants and which address to use based on the selected criteria.

Mailing Labels: Step 1 tab

Select Properties

Click to select properties from the Select Properties tab. The report runs for all selected properties.

From Building

Printing the report calls for a building range to print from. Enter the first number of the building range. Or use the drop-down to display a lookup list.

To Building *

Printing the report calls for a building range to print to. Enter the last number of the building range. Or use the drop-down to display a lookup list.

From Apt

Printing the report calls for a unit range to print from. Enter the first number of the unit range. Or use the drop-down to display a lookup list.

To Apt *

Printing the report calls for a unit range to print to. Enter the last number of the unit range. Or use the drop-down to display a lookup list.

Include Current Residents

Accept the checked default to include residents with a Current status. Or, uncheck to exclude them.

Include Applicants

Accept the checked default to include applicants with an Applicant status. Or, uncheck to exclude them.

Include Previous Residents

Accept the unchecked default to exclude applicants with a Previous status. Or, check to include them.  

Include Wait List Applicants

Accept the unchecked default to exclude residents with a Wait List status. Or, check to include them.

Include Canceled Applicants

Accept the unchecked default to exclude applicants with a Canceled status. Or, check to include them.

Type

Select the type of addresses to select: Residents (default) or Occupants. Other fields on the page are affected by your choice.

Address

Select the type of address to print using the drop-down list. Options include: Primary (default), Mailing, Billing, Statement or Other. This option does not display if you selected Occupants for Type.

Include Responsible

Accept the checked default to include responsible occupant addresses. This option does not display if you selected Residents for Type.

Include Non-Responsible

Check the box to include non-responsible occupant addresses. This option does not display if you selected Residents for Type.

Include Guarantors

Accept the checked default to include guarantor addresses. This option does not display if you selected Residents for Type.

Print Account No

Accept the checked default to include the resident account number. Or, uncheck to exclude.

Label Format

Accept the 3-Up default to print mailing labels 3 up on one page. Or, click once inside another option to select it. Other options include: 1-Up and 2-Up.

Sort By

Select the type of sort using the drop-down list. Options include: Unit (default) and Name. Selecting Unit prints labels in property ID building ID, unit ID, and resident ID order. Selecting Name prints labels in last name, first name, property ID, building ID, unit ID, and resident ID order.

Reset Button

Click to restore default settings on this tab; any changes are lost.

Next Button

Click to go to the Mailing Labels: Step 2 tab, which allows you to de-select or select Residents or Occupants for the report.

Display Button

Click to display the report.

NoteNote

Completing the Mailing Labels: Step 2 tab is optional. All residents/occupants that meet the specified criteria in Step 1 print on the report except for those you de-select on the Step 2 tab.

Column Headers

Click the column header to sort any list: Property, Building, Unit, Name, Status, Balance.

check box (select all)

Click the top check box and all residents/occupants shown become selected. Or, in the column, check only the box(es) for the residents/occupants for which you want to print labels.

Previous button

Click to return to the Mailing Labels: Step 1 tab.

Reset Button

Click to restore default settings; any changes are lost.

Display Button

Click to display the report.

NoteNote

The following report details assume all defaults are selected. The display may vary depending on the criteria you select.

Account Number

The resident/occupant account number. For instance, TX375-01-1011-5 where TX375 is the property ID, 01 is the building number, 1011 is the unit number, and 5 is the resident ID/Occupant ID.

Resident/Occupant Name

The resident or occupant name. For instance, Sally Smith.

Address

The full mailing address including the street address, the city, the state and zip code.

NoteNote

If there is not an address for an occupant, the unit address prints.

ClosedTo Display the Mailing Labels Report

  1. From the eSite menu, select Reports—Misc. Reports—Mailing Labels.
  2. Click Select Properties. Select the properties for which you want to print the report and click Done.
  3. Select the information you want to see on the report using the Mailing Labels: Step 1 and Mailing Labels: Step 2 tabs (refer to the Selection Criteria for this report).

NoteNote

Completing the Mailing Labels: Step 2 tab is optional. All residents/occupants that meet the specified criteria in Step 1 print on the report except for those you de-select on the Step 2 tab.

  1. Click Display. The report displays in a browser window.
  2. User your browser's capabilities to print the labels.

NoteNote

If the mailing labels do not print properly, change the page scaling to print within printer margins or shrink to printable area. This setting is changed  in the browser's Print dialog box.
