This tab appears when you click Add Template or select
a data template from the Data Template
Grid.
Use this tab to add or edit templates you create for
residents and corporate clients.
Letter Type
The letter type selected from the Data
Template Grid. The system displays the Available Fields and Selected
Fields boxes based on letter type.
File Path
A display-only line that shows you where your
letters are stored. If you are using multiple Web servers, please remember
to copy the letters in this folder to all your Web servers so that each
server will recognize the letter when users select it.
Description
A text description for the data template.
Field Groups
A list of available field groups for the letter
type. Select the field group for the fields you want to select for the
data template. Or, select All
to view a list of all available fields.
Field groups include All, Address, Application,
Building, Date/Period, Demographics, Function (only if letter functions
have been set up for the letter type), Lease, Move-In, Memo, Name, Occupant,
Other, Policy, Property, Resident, Transaction, Unit, and Unit Type.
Available Fields and
Selected Fields
When you select a Field group, the available fields
for the group appear. When you select a field in the list, a description
of the field appears under the list.
To move a field to the Selected Fields list, double-click
the field you want to add to the data template. Or, use the arrows to
move fields between the lists.
When you select a field, a Parameter list might
appear. If so, select a parameter you want to associate with the field
and click Save. The parameter
displays in the Selected Fields box with the field label in parenthesis
at the end of the text string.
If a message indicates that the merged field exceeds
35 characters, click OK.
Edit the merge field description so that it is no longer than 35
characters and select Save.
Note
For existing letter templates, if you edit templates
because selected merge fields contain more than 35 characters, it is necessary
to also edit documents.
