Auto-Email Activities

Make the following menu selections to display the grid:

Setup—Property—Additional—Auto-Email Activities

When you have Auto-Email set up, use this tab to define "Activities" for the current property so that the system automatically sends an email to a Guest, Applicant, Resident, Guarantor, or all Occupants immediately on or after a specified amount of time following the trigger Action for the Activity.

Grid Fields

Activity ID

The identification for the Activity.

Description

A description of the Activity.

Active

The active status of the Activity: Y = Yes; N=No.

Delete

Click the Delete icon Delete icon to delete an Activity.

Add Activity

Click to open the Add Auto-Email Activity tab. This allows you to create a new Activity.

Find

Use this button to locate an existing Activity if it is not displaying in the grid. Type an Activity ID and then click the Find button.

Add/Edit Auto-Email Activity Fields

Activity ID *

Enter a meaningful identification for the Activity you are creating. The naming convention is up to you. Examples:

Work Order Activity: WO

Description *

Enter a meaningful description for the Activity. Example: Work Order Closed.

Type *

Select the type of Activity from the drop-down list. Options include Guest card created, Application approved, Actual move-in, Actual move-out, Rent payment posted, Work order closed, (Not set).

Sent email *

Select from the drop-down list when to send the email: Immediately or After activity. If you selected After activity then the next two fields are available so that you can specify the number of hours or days after the activity to send the email. For example, if you selected  After Activity  1  Day then the email would be sent 1 day after the activity.

Email from *

Type the email address of the sender into the field in the standard format name@company.com.

Send email to *

Select from the drop-down list who the email is to be sent to. Options include Current Resident, Guarantor Only, All Occupants, Guest (available only when Type Guest card created is selected).

The system pulls the email address(s) used in the Send email to field from the Email field on these pages:
Guest
: Leasing—Guest Card
Current Resident
: Leasing—Lease Changes—Addresses—Contact Details
All Occupants
: Leasing—Lease Changes—Occupant Demographics—(click link for each Responsible and Guarantor occupant)
Guarantor Only
:  Leasing—Lease Changes—Occupant Demographics—(click link for each Guarantor)

Email Template *

Select from the drop-down list the Auto-Email Template that the system is to use to create the email.

Active

When the box is checked (default) this Activity is set to Active status and the system sends Auto-Emails according to the options defined here. Uncheck the box to set this Activity to Inactive status and no email is sent for this Activity.

 

ClosedTo Add or Edit Auto-Email Activities

  1. Select the property you want to create the Activity for.
  2. From the eSite menu, select Setup—Property—Additional—Auto-Email Activities.
  3. If adding a new Activity, click Add Activity; if editing an Activity, click the Activity ID. The Add/Edit Auto-Email Activity tab opens.
  4. If adding a new Activity, enter an Activity ID. If editing, the Activity ID is display-only.
  5. Complete the tab using the Fields list.
  6. Click Save. The Auto-Email Activity is saved and the Auto-Email Activity grid appears.

ClosedTo Delete Auto-Email Activities

  1. From the eSite menu, select Setup—Property—Additional—Auto-Email Activities.
  2. Click the Delete Delete iconbutton for the Activity you want to delete.
  3. Click OK to confirm.
