Rent Roll—Corporate Client/National Tenant

Make the following selections from the menu to display this page:

Reports—Corporate Clients Reports—Rent Roll

This report lists current active charges, market rents, move in, move out and lease expiration dates as well as security on hand amounts for a selected national tenant (property type 6-Standard Commercial).

 Use the unique Sort ByProperty option to vary the information displayed in the report headers, columns and totals.

An asterisk ( * ) indicates a required field or selection.

Select Properties

Click to select properties from the Select Properties pop-up. The report runs for all selected properties.

Include Current Tenant

Check to include national tenants with a Current status.

Include Future Charges

Check to include national tenants with a balance due in a future period.

Include Applicants

Always (default): Always include applicants and leased tenants regardless of their balance.
Sometimes
: Only include applicants if they have a balance due
Never
: Never include applicants.

Include Previous Tenant

Always: Include all tenants with a Previous status.
Sometimes:
Include tenants with a Previous status and an ending balance. (For example, tenants who have moved out while owing money.)
Never:
Do not include tenants with a Previous status.

National Tenant *

Select the National Tenant to include from the drop-down list.

Sort by Property

Use this option to determine if tenants should be listed on one report or broken out by property when you have tenants residing in multiple properties linked to the same National Tenant ID.

ClosedOptions

Checked—(default) the Report Name displays as the top center header, the National Tenant ID does not display in the upper right hand corner, a Natl Tenant column instead of a Property column is included, and a Grand Total column instead of a National Tenant Total column is included.

Use this option when tenants who reside in multiple properties are linked to the same National Tenant and you want to print one report per property that only includes tenants who reside within that property.

Unchecked—the National Tenant Name displays as the top center header, the National Tenant ID displays in the upper right hand corner as National Tenant ID: XXX, a Property column instead of a Natl Tenant column is included, and a National Tenant Total column instead of a Grand Total column is included.

Use this option when tenants who reside in multiple properties are linked to the same National Tenant and you want to print one report that includes all tenants regardless of where they reside.

Natl Tenant

The National Tenant ID.

Bldg-Ste

Identifies the building and suite number.

Tenant

The national tenant or business name. For instance, Susan Smith or Smith Shoes.

S T

Identifies the national tenant's lease status as; Current, Previous or New. This is based on the Report Select Date entered on the Select Properties Grid.

Type

The suite type. Suite types are defined on the Suite Types tab.

Useable Sq Ft

The useable square footage amount as defined on the Property Tab.

Code

A description of the income code applied to the active charge; for instance CAM for Common Area Maintenance.

Lease Charges

The amount of the active charge listed in the format 0000.00.

Freq.

The frequency by which the active charge is billed; for instance M for Monthly.

Annual $/Sq. Ft.

Calculates active charges/square footage multiplied by the charge frequency.

52 = Weekly (W)
12 = Monthly (M)
4 = Quarterly (Q)
2 = Semi-Annually (S)
1 = Annually (A)

Start Bill/Stop Bill

(Line 1) Start Billing Date - the date the charges will begin to be assessed and charged.
(Line 2) Stop Billing Date - the date the charges will stop being assessed and charged.

Lease Terms

Identifies the lease term in months and years if it is less than 5 years (i.e. 2 Yr 2 Mo). If the lease term is greater than 5 years it is the number of years (i.e. 5 Yr).

Lease Begin/Lease End

(Line 1) The date the lease is scheduled to begin (from Tenant Profile).
(Line 2) The date the lease is scheduled to end (from Tenant Profile).

Security Deposits

(Reg) Identifies the amount of security deposit on hand.
(Oth) Identifies the amount of other on hand. This is a deposit that is outside of the security deposit. It is usually non-refundable. (For example, last month's rent.)

Property Totals

Heading indicating that the amounts following are totals for the indicated property.

Suite Analysis

Details how many suites are Occupied and/or Vacant and provides a total number of suites per property.

Deposits

Details the amount of Security Deposits (total of Security Deposits on Hand) and Other Deposits and provides a deposit total.

Summary of Charges By Income Code

Identifies the annualized lease charges and dollars per square foot for current tenants. These amounts are broken down by income code.

Property Totals

Totals listed per property.

Sort By Property = Unchecked

Property

The property ID.

Bldg-Ste

ClosedTo Display the Corporate Clients Rent Roll Report

  1. From the eSite menu, select ReportsCorporate Clients ReportsRent Roll.
  2. Click Select Properties. Select the properties for which you want to print the report and click Done.
  3. Select the information you want to see on the report (refer to the Selection Criteria for this report).
  4. Select a Report Format option: Acrobat Reader (default), Crystal Viewer, Excel.
  5. Click Display. If you selected the printing option, Excel, you are prompted to open or save the report Excel file. Otherwise, the report opens in your preferred format.

Note Note

This menu item name is based on the User Corporate Clients/National Tenants Name value on the global policies Names tab. For example, if the value is "National Tenants," the name of this menu item is "National Tenants." The default is Corporate Client.
