Data Access Concepts and Processes

Allowing data access enables users to see data within databases. Access to data within databases can be granted to a group or to a user.

A "database" is a set of database connections. For every application for which you have a license, you have the ability to add the database connection to the application and then the application appears on the Menu Bar.  ClosedMore

Permissions override database connections, meaning that regardless of the database connection setup, users only see the applications on the Menu for which they have permissions.

Basing access on groups is the more efficient set up. Your first task is to identify users who make up a group. These are people who need to see the same type of data. Next, set up the group, and assign the users to the group. Finally, as you add a database to which the group needs access, you select the group on the Access tab for that database. When you finish adding the database, the database is available for selection by members of the group.

As the access needs of the users change, you can adjust the access for the group, which automatically adds or removes the databases available for selection for every user/member of the group. Refer to Groups Concepts and Processes for an example of setting up data access based on groups.
