Late Notices Overview
Late Notices are generated for residents whose payments
are not received by the rent due date. Late schedules require a code entry
used to define the rent due date, the income code to use to assess the
late fee, and the fee amount to bill to the resident's account. The system
associates the late schedule code with the resident at the time the resident
is entered into the system.
In addition, property managers can use this function
to generate eviction notices for residents whose account balances are
severely delinquent and have not made an agreeable payment arrangement.
The late notice prints text defined in the late notice letter. As a prerequisite,
at least one late notice letter must be defined prior to processing late
notices.
When late notices are processed, the system generates
a Lease Charge Summary Report that can be used to audit resident accounts
billed. Lastly, if preferred additional processes can be attached to late
notices so that eSite automatically executes the process when either Begin of Day or AME
is run.
Prerequisites —
Late Notices
Late Notices require the following prerequisites be completed:
- Define
late notice income code —
income codes are established on the Income
Code Tab. Refer to that tab for specific setup instruction. This determines
the income code to use when assessing late fees to the resident's account.
- Set
up late letter —
letters are established on the Letters Tab. Refer to that tab for specific
setup instruction. This tells the system which letter to print for resident
receiving a late notice charge.
- Set
up a late schedule —
late schedules are established on the Late
Notices Tab. Refer to that tab for specific setup instruction. Late
schedules determine when the resident is considered late and which charge
to bill their account when payment is overdue.
Special Considerations
Multiple User Processing
If you have more than one property with multiple users
within your database, then you may have users attempt to run the late
notice process simultaneously. To avoid undue problems, the system displays
an alert message to the second user that the process is currently being
run by another and does not allow the second attempt to begin until the
first completes.
Collecting Tax on Late Notice Fee
Taxes can be collected on late notice fees if the following
prerequisites are met:
- The global policy,
Calculate Sales Tax must be checked
- Tax flag names must
be defined in either global or property policies
