Export Utility Billings Overview
If you use third-party utility billing companies to bill
and/or accept resident utility payments, you can import and export utility
billing data between eSite and the utility company. eSite provides the
following functions for exporting and importing the data:
- The Export Utility
Billing process enables you to create an export file containing resident-specific
data and distribute it by e-mail to the utility company.
- The Import from ASCII
process enables you to import billing and payment transactions provided
by the utility company.
Exporting Utility Billing Data from eSite
When the Export Utility Billing process is run, eSite
creates the export file in the preferred file layout and writes it to
your eSite Output folder. The export file is a comma-delimited ASCII file
named CYBER<PropertyID>.TXT.
During the process, eSite creates an e-mail message with
the subject line, “Utility Billing Extract”, the date the file was created,
and the properties that it includes. eSite sends the file to a specified
e-mail address (for example, to the utility company).
Importing Utility Billing Data to eSite
The utility company creates an import file to return
the utility billing data to your property in eSite. The Import from ASCII
process enables you to import the following transactions:
- Billing transactions.
- Payment transactions,
automatically allocating the amount paid to outstanding open items based
on standard allocation rules.
To be successfully imported into eSite, the import file
created by the utility company must meet the Import From ASCII File Layout
requirements.
