Batch Restrictions Overview

You can restrict batches in a number of ways. You can restrict a batch to one or more users so that the batch is accessible by only those users. You can add batch restrictions for bank accounts and companies entities, and properties to which you have access. You can also restrict the type of transactions allowed in the batch to one or more of these types: Invoices, Checks, Receipts, Billings, and Journal Entries.

When transactions are entered and saved, the system checks for any batch restrictions for the current user, bank account, entity, and propertyand company. The system also checks to ensure that the transaction types in the batch are allowed transaction types. If applicable restrictions are found, an error message appears.

Batch restrictions are set up on the Batches General Tab. Refer to the following rules for batch restrictions.

Depending on the applications purchased by your company, batch-related tabs can display from either eFinancials, ePO, Job Cost, or Inventory menus.

All policies that affect eFinancials, ePO, Job Cost, or Inventory batches are set in eFinancials.

Note

Administrators can gain access to restricted batches with the Override Restrictions security option. Override Restrictions provides a message to notify the user that a batch is restricted, and then allows a user with rights to override the restrictions and edit the batch. When the restrictions are overridden, all properties and entitiescompanies are available to be edited for that batch, even if the user does not have access to those properties or entitiescompanies. This does not change what properties/entitiescompanies the user does have access to within the system. The Override Restrictions permission is available for eFinancials, ePO, and Job Cost  and can be set at System—Security—User Permissions—eFinancials—Batches.

If you attempt to add or remove batch restrictions that do not reflect these rules, an error message will appear when you click Save on the Batches General Tab.
