Full Residential Setup

Full setup provides you with the means to set up all the basic resident information plus data for the following components: corporate client, profit center, addresses, demographics, and search items.

After you have planned your setup—reading setup details and completing the questionnaires necessary for your setup—you are ready to start entering data into the system. We suggest you follow the ordered tasks detailed below for a smooth and successful setup.

Complete Policy Setup

The policy set up should be completed prior to adding any other files to your system.

  1. Confirm that all users are established in System—Security—Users.
  2. Set up global policies*.
    Use your completed global policy questionnaire for reference.
  3. Set up rentable items policies * RDP. Setting up rentable items policies is required if the global policy, Use Rentable Items is checked. Use your completed rentable items policy questionnaire for reference.
  4. Set up property policies*.
    Use your completed property policy questionnaire for reference.

Complete the Remaining Setup

Completing the remaining setup is required and can be done at any time after you have completed the policy setup.

  1. Set up Calendars *.
    Use your calendars questionnaires for reference.
  2. Set up Properties*. Complete the Property tab.
    Use your completed property questionnaires for reference.
  3. Set up Bank Books*.
    Use your completed bank book questionnaires for reference.
  4. Set up Return Codes*.
    Use your completed return code questionnaires for reference.
  5. Set up ABA Account.
    Use your ABA account questionnaires for reference.
  6. Set up Corporate Clients*RDP. Corporate Clients are required if the global policy, Use Corporate Clients is checked. Use your corporate client questionnaires for reference.
  7. Set up Credit/Insurance Agencies.
    Use your credit/insurance agencies questionnaires for reference.
  8. Set up Document Types.
    Use your document type questionnaires for reference.
  9. Set up eFinancials Transfer. If used, the global policies, Transfer to G/L and Transfer to A/P must be set to eFinancials Web Service. Use your eFinancials transfer questionnaire for reference.
  10. Set up Rentable Items* RDP. Rentable items are required if the global policy, Use Rentable Items is checked.
  11. Set up Report Codes.
    Use your report code questionnaires for reference.
  12. Set up Search Topics.
    Use your search topic questionnaires for reference.
  13. Set up Series Setup.
    Use your series setup questionnaires for reference.
  14. Set up Guest Action Codes.
    Use your guest action code questionnaires for reference.
  15. Set up Phone Actions* RDP. Phone actions are required if the property policy, For Guest Cards must be set to Require Action Taken. Use your phone action questionnaires for reference.
  16. Set up Internet Actions* RDP. Internet actions are required if the property policy, For Guest Cards must be set to Require Action Taken. Use your internet action questionnaires for reference.
  17. Set up Visit Actions* RDP. Visit actions are required if the property policy, For Guest Cards must be set to Require Action Taken. Use your visit action questionnaires for reference.
  18. Set up Communities* RDP. Internet actions are required if the property policy, For Guest Cards must be set to Require Current Community. Use your communities questionnaires for reference.
  19. Set up Moving Reasons * RDP. Moving reasons are required if the property policy, For Guest Cards must be set to Require Reason for Moving. Use your communities questionnaires for reference.
  20. Set up Non-Qualified Codes.
    Use your non-qualified code questionnaires for reference.
  21. Set up Price Ranges* RDP. Price ranges are required if the property policy, For Guest Cards must be set to Require Price Range. Use your price ranges questionnaires for reference.
  22. Set up Zip Codes.
    Use your zip code questionnaires for reference.
  23. Set up Income Codes*. Income codes defined in the property policies, Default Income Codes and Income code for MTM charge must be added. Use your completed income code questionnaires for reference.
  24. Set up Buildings*RDP. Buildings are required if the global policy, Use Building Numbers is checked. Use your building questionnaires for reference.
  25. Set up Unit Types*.

  26. Set up Amenities.

  27. Set up Amenities by Type.

  29. Set up Marketing SourcesRDP. Marketing sources are required if the property policy, Track Marketing Sources is set to Require. Use your marketing source questionnaires for reference.
  30. Set up Leasing AgentsRDP. Leasing agents are required if the property policy, Track Leasing Agents is set to Require. Use your leasing agent questionnaires for reference.
  31. Set up Lease TypesRDP. Lease types are required if the property policy, Track Lease Types is set to Require. Use your lease type questionnaires for reference.
  32. Set up Cancel/Denial Codes*.
    Use your cancel/denial code questionnaires for reference.
  33. Set up Move-Out Codes*.
    Use your move-out code questionnaires for reference.
  34. Set up Late NoticesRDP. Late notices are required if the property policy, Track Late Notices is set to Require.
  35. Set up Fees. If used, then add the fees defined in the property policy, Default Fees. Use your fee questionnaires for reference.
  36. Set up Credit/Insurance Agency Accts.

  37. Set up Direct Rent Setup.

  40. Set up User Tables.

  41. Set up Memo Forms.

  42. Set up Household Demographic Definitions.

  43. Set up Occupant Demographic Definitions.

  44. Set up Property Comments.
    Use your property comment questionnaires for reference.
  45. Set up Property Goals.
    Use your property goal questionnaires for reference.
  46. Set up Tax RatesRDP. Tax rates are required if the global policy, Calculate and bill resident sales tax is checked. Use your tax rate questionnaires for reference.
  47. Set up Unit Default Charges.
    Use your unit default charge questionnaires for reference.
  48. Set up Resident Profiles. These are only available for a property that has not completed Go Live. Use your resident profile questionnaires for reference.
  49. Set up Resident Balances. These are only available for a property that has not completed Go Live. Use your resident profile questionnaires for reference.
  50. Set up Letters. Using the options available from the Letters menu, create a data template, create a form letter, upload and assign the form letter and assign a merge location. In addition, once a Late Notice letter has been assigned, it must be linked to the appropriate Late Notice. Use your letter questionnaire for reference.
  51. Set up Visit Activities.
