AP Deposit Refund Import Records Edit Tab

Use this tab to add missing information to a refund record prior to processing. You can select information for an existing vendor or add a new vendor on the fly.

Note

An asterisk (*) indicates a required field or selection.

Record Number

The display-only refund record number for the record being edited. If you count from the top of the grid, the record number is the line number in the list.

Description

A description of the transaction; for example, SODA Refund—Smith. This field is editable.

Invoice ID*

The invoice identification for the refund invoice. This field is editable.

Expense Code *

The expense code. Click the Lookup Button to display a list and select another expense code for the refund from the list, if desired. The expense code you select is linked to this vendor as the general ledger account number used for invoicing.

Use Existing Vendor

Select this option if you want to use a vendor that is already in the system. The Vendor ID, Name, Short Name, and address show as display-only in the fields to the right for the existing vendor.

Vendor ID (existing vendor)

Click the Lookup Button to select an existing vendor for the refund record.

Create New Vendor

Select this button to add a new vendor to use for the refund record and then complete the Vendor ID, Name, Short Name, and address fields below.

Vendor ID *

The vendor identification. This ID appears on lists and in reports.

Name *

The name of the vendor.

Short Name

An abbreviated vendor name. This name appears in the vendor grid.

Address

The street address for the vendor.

City

The city for the vendor.

State

The two character abbreviation for the state for the vendor.

Note

Once the record is saved, the Lease record in eSite will be updated with any new Vendor ID assigned in eFinancials for the deposit record.

Previous

Click to display the previous refund record. When you select this button, the currently displayed record is saved automatically.

Next

Click to display the next refund record. When you select this button, the currently displayed record is saved automatically.

Cancel

Click to stop without saving the work you have done on a page.

Save

Click to save changes that you have made for the displayed refund record.
